Job summary

Borea Construction is seeking a Site Health and Safety Assistant to support the project management team with documentation, OHS compliance, worker integration and site safety administration.

The role handles training coordination, document management, OHS reporting, event/inspection follow-up, meetings support and daily site administration, requires college/university diploma and 2–5 years in similar roles, strong Office Suite skills and mobility.

Qualifications

  • College or university diploma in secretarial studies, office administration, occupational health and safety or a relevant discipline.
  • 2 to 5 years of experience in similar functions.
  • Knowledge of the construction sector considered an asset.
  • Excellent command of Office Suite.
  • Intermediate knowledge of English, both oral and written, to interact occasionally with suppliers and colleagues at the national level. Must be able to write papers and revise documents in English.
  • High geographical mobility and hold a valid driver''s license.
  • Excellent teamwork and communication skills, with the ability to convey information clearly and professionally, both orally and in writing.
  • Autonomy, discretion and great administrative rigour.

Responsibilities

  • Prepare weekly the documents necessary for the reception of workers (site plan, forms, OHS documentation).
  • Ensure the updating and follow-up of the register of OHS training and receptions.
  • Layout and revision of OHS training presentations for workers.
  • Ensure the administrative follow-up of the mandatory training and certifications required on the site.
  • filing, archiving and management of the site's OHS documents.
  • Maintain up-to-date hospitality files, work permits, investigation reports, CNESST reports and other regulatory documents.
  • Prepare and distribute the various OHS forms required on the site (hot work, confined spaces, lifts, equipment inspections, etc.).
  • Ensure accuracy and compliance of OHS records and documents.
  • Compile data for weekly/monthly OHS reports; assist with tactical plans and dashboards.
  • Monitor and update OHS indicators and statistics; produce administrative documents for OHS activities.
  • Send notifications related to OHS events; follow up on investigations and deadlines.
  • Follow up on site inspections and corrective actions; support meetings and minutes.
  • Prepare agendas for site committees and OHS meetings; take notes and write minutes.

The Site Health and Safety Assistant manages administrative tasks related to health and safety on the site administratif.ve site. He or she supports the project management team in the follow-up of documentation, OHS file compliance, worker integration and various administrative activities aimed at maintaining a safe work environment that complies with regulatory requirements.

1. Worker training and integration
  • Prepare weekly the documents necessary for the reception of workers (site plan, forms, OHS documentation, etc.);
  • Ensure the updating and follow-up of the register of OHS training and receptions;
  • Layout and revision of OHS training presentations for workers;
  • Ensure the administrative follow-up of the mandatory training and certifications required on the site.
2. Document management and compliance
  • Ensure the filing, archiving and management of the site's OHS documents;
  • Maintain up-to-date hospitality files, work permits, investigation reports, CNESST reports and other regulatory documents;
  • Prepare and distribute the various OHS forms required on the site (hot work, confined spaces, lifts, equipment inspections, etc.);
  • Ensure accuracy and compliance of OHS records and documents.
3. OHS reporting and administrative follow-up
  • Compile the data necessary for the preparation of weekly, monthly and other OHS reports required by the client;
  • Participate in the preparation of tactical plans, recovery plans and OHS dashboards;
  • Monitor and update the various OHS indicators and statistics;
  • Produce the administrative documents required for the proper functioning of the site's OHS activities.
4. Event and Inspection Management
  • Send notifications related to OHS events;
  • Ensure the administrative follow-up of investigation reports and ensure compliance with transmission deadlines;
  • Follow up on site inspections carried out by the OHS team and the supervision team;
  • Follow up on corrective actions resulting from inspections, observations and events.
5. Meetings and communication
  • Prepare agendas for site committees and OHS meetings;
  • Participate in meetings, take notes and write minutes;
  • Ensure the dissemination of minutes after approval;
  • Prepare the necessary documentation for general meetings, OHS breaks and other communication activities.
6. Administrative support to the site
  • Support the OHS team and the project management team in their day-to-day administrative activities;
  • Produce, update and disseminate various OHS documents, posters and communications;
  • Ensure the availability of personal protective equipment (PPE) for visitors;
  • Maintain the various site records, including those related to training, inspections, events, observations and recognition programs.
