Role

The Site Administrator / Executive Assistant provides comprehensive administrative support to the President, Vice President, and Project Directors, as well as key site operational support. This dual-role position ensures smooth administrative processes, efficient communication across the team, and supports site safety with administrative duties. This role demands exceptional organizational, multitasking, and interpersonal skills, handling tasks that range from budgeting, site directives, and expense processing to material orders and scheduling.

Key Accountabilities / Responsibilities
  1. Administrative Support for Site and Executive Operations
    Manage the schedules of the Scotia Place leadership team, including coordinating meetings, site visits, and travel arrangements.
  2. Project Coordination, Communication, and Expense Management
    Serve as the first point of contact for clients, design team, site personnel, subcontractors, and suppliers, ensuring effective communication on all levels.
  3. Meeting Preparation and Facilitation
    Organize executive and site meetings, prepare agendas, arrange catering, and manage facility needs.
  4. Document and Data Management
    Maintain organized and accessible site documentation, including contracts, permits, inspection reports, and employee time records.
  5. Office and Site Space Management
    Handle general reception duties, including welcoming visitors and managing incoming/outgoing couriers and mail.
  6. Support Site Safety with Administrative Duties
    Monitor safety-related documentation, ensuring all permits, reports, and records are up-to-date and accessible to relevant stakeholders.
  7. Special Projects and Additional Duties
    Support the team with special projects, including research and event planning.
  8. Safety and Compliance Commitment
    Engage actively in CANA's safety program, upholding safety practices and policies on-site.
What You Bring

To be successful in this role, applicants will have:

  • Minimum of 5 years of experience in site administration or a similar role within the construction industry.
  • Strong organizational, multitasking, and time-management skills with high attention to detail.
  • Excellent communication skills, both written and verbal, with proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Basic understanding of construction processes and terminology, with the ability to learn new technologies and systems.
  • Ability to work independently, handle confidential information with discretion, and adapt to fast-paced environments.
  • Undergraduate diploma or equivalent; additional certification in administration or a related field is a plus.
