Job summary

Oakridge Landscape Contractors is seeking a maintenance/fleet coordinator in Hamilton to manage CVOR files, use Geotab for compliance, and coordinate preventive maintenance for company vehicles and heavy equipment.

You will ensure logs, inspections, and service records are up to date, while coordinating parts, repairs, and hoist inspections. The role requires strong organization and communication, with office-based responsibilities in a shop environment.

Qualifications

  • Valid G license with a clean driving record.
  • Proficiency in Microsoft Office (Outlook, Excel, Word).
  • Strong organizational, analytical and problem solving abilities.
  • Excellent written and verbal communication skills.
  • Ability to adapt to changing priorities and deadlines.
  • Flexible, resourceful and positive approach to work.
  • Comfortable in a maintenance-shop office environment.
  • Experience with maintenance-shop procedures, trucks or heavy equipment is an asset.
  • Knowledge of Ontario CVOR system and Highway Traffic Act is an asset.

Responsibilities

  • Manage and maintain CVOR files and ensure regulatory compliance.
  • Use Geotab to monitor speeding reports and safety concerns.
  • Communicate violations and coordinate timely resolutions per policy.
  • Report habitual offenders to HR & Safety Manager and Equipment & Yard Manager.
  • Maintain GPS systems for company vehicles and equipment.
  • Keep drivers’ logs and inspection records up to date.
  • Analyze vehicle/equipment performance for safety and efficiency.
  • Coordinate preventive maintenance and annual safety inspections.
  • Prioritize urgent repairs and schedule hoist inspections.
  • Maintain service records per Ministry of Transportation requirements.
  • Track service due dates in a database.
  • Arrange transport of vehicles/equipment to service facilities.
  • Order parts, arrange deliveries, and follow up on delays.
  • Issue purchase orders and match to invoices/work orders.
  • Track inventory of parts and materials.
  • Maintain filing systems and track equipment service hours.
  • Schedule hoist repairs and report findings to managers.
  • Deliver safety training to maintenance staff.
  • Help maintain a clean and safe shop environment.
  • Maintain regular communication with the Equipment & Yard Manager.

Job Responsibilities:

  • Analyze and report on vehicle and equipment performance, with a focus on safety and operational efficiency.
  • Coordinate and schedule preventive maintenance, annual safety inspections and repairs for company vehicles and equipment.
  • Identify and prioritize urgent repairs.
  • Maintain service and maintenance records in accordance with Ministry of Transportation requirements.
  • Maintain a database to track service requirements and due dates.
  • Coordinate the transportation of company vehicles and equipment to and from service facilities.
  • Order and pick up parts or arrange for delivery, following up on delays or other issues as required.
  • Issue purchase orders for parts and external services, and match purchase orders with invoices and work orders.
  • Track parts and materials inventory.
  • Maintain organized physical and electronic filing systems.
  • Track equipment service hours.
  • Ensure monthly hoist inspections are completed and reviewed by the Equipment & Yard Manager.
  • Schedule required hoist repairs and report findings to the Equipment & Yard Manager and HR & Safety Manager.
  • Deliver safety training to maintenance staff as provided by Human Resources.
  • Help ensure the shop is maintained as a clean and safe working environment, including at the end of each day.
  • Maintain regular communication with the Equipment & Yard Manager.
Schedule:
  • Monday to Thursday: 6:30 a.m.–4:00 p.m.
  • Friday: 6:30 a.m.–3:00 p.m.
  • Occasional Saturdays may be required based on business needs.
  • Overtime must receive prior approval.
Qualifications and Requirements:
  • Valid Class G driver’s licence with a clean driver’s abstract.
  • Intermediate proficiency in Microsoft Office.
  • Strong organizational, analytical and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Ability to independently manage changing priorities, workloads and deadlines.
  • Flexible, resourceful and positive approach to work.
  • Comfortable working in a maintenance-shop office environment.
  • Experience with maintenance-shop procedures, trucks or heavy equipment is considered an asset.
  • Knowledge of Ontario’s CVOR system and Highway Traffic Act is considered an asset.
