Job summary

Qualifications

  • Grade 12 or equivalent with relevant work experience.
  • Experience with production planning, inventory management, ERP, transportation, ordering and warehouse management systems is an asset.
  • Proficiency with Microsoft Office (Excel, Word, Outlook) is expected.

Job description

Reporting to the Shipping Supervisor, the Shipping Coordinator is responsible for coordinating inbound and outbound logistics, daily production scheduling, inventory planning, material availability, production supply ordering, reporting, and communication with carriers, external warehouses, and internal stakeholders. The position supports efficient plant operations by ensuring timely shipments, accurate inventory management, and uninterrupted production flow.

Key activities
Shipping, Logistics & Customer Coordination
  • Organize and track shipments through Transportation and Logistics Management Computer Applications.
  • Manage inbound and outbound loads, ensuring timely deliveries and pickups.
  • Assign and manage dock doors for all incoming and outgoing shipments.
  • Communicate with carriers and external warehouses to coordinate daily shipping activities.
  • Create Sales Orders (SO#s) and coordinate co-packing plans with external warehouses.
  • Support shipping operations in the absence of the Shipping Supervisor.
  • Provide clear and timely updates to internal teams, external warehouses, and carriers regarding shipping schedules and inventory status.
  • Report any delays, shortages, or discrepancies and coordinate corrective actions.
  • Provide support to visitors, contractors, and drivers as required.
Planning, Inventory & Supply Management
  • Manage the daily production scheduling process in Virtuo, by developing and issuing the daily production program based on raw material availability, blending limitations, production constraints, and CFR requirements.
  • Monitor material and product availability and resolve shortages within company control to prevent production interruptions.
  • Follow up with Corporate Supply Chain to ensure raw materials are available or scheduled for timely delivery.
  • Manage inventory in accordance with corporate guidelines to minimize obsolete or expired products.
  • Order, track, and manage production supplies through internal systems.
  • Coordinate product transfers between external warehouses and the plant as required.
Documentation, Reporting & Compliance
  • Ensure all shipping and receiving documentation is completed accurately and submitted on time.
  • Verify shipping documentation, including bills of lading, invoices and packing lists.
  • Maintain accurate inventory and transportation system records.
  • Regularly audit work to catch and correct errors before submission.
  • Oversee and manage the Time Management System for shipping employees, ensuring accurate tracking of work hours, attendance and labour cost allocation.
  • Process and complete Return Material Authorizations (RMAs).
  • Generate and process daily, weekly, and monthly reports as required.
  • Track and report key performance indicators (KPIs).
Required Training And Experience
  • Grade 12 or a combination of education and work experience will be considered.
  • Experience with production planning, inventory management, ERP, transportation, ordering and warehouse management systems is considered an asset.
  • Basic knowledge of quality control and inventory management practices.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
