Zeidler Architecture Inc. seeks a Senior Proposal Specialist for its Toronto/Calgary studios.

The role leads the end-to-end development of compelling proposals, coordinating writing, design, and production in alignment with brand and strategy. You will collaborate with the BD team to craft vision statements, select strong project examples, and manage proposal timelines with internal and external contributors.

Qualifications

• Post-secondary degree in marketing, communications, architecture, or related field.
• 5-8+ years of relevant experience in architecture, engineering, or design industries.
• Strong leadership and project management skills.
• Excellent writing, editing, and organizational abilities.
• Advanced proficiency in Microsoft Office and Adobe InDesign.
• Ability to manage multiple deadlines with high attention to detail.

Responsibilities

• Lead the development, writing, editing, and design of competitive proposals.
• Collaborate with the BD team to shape proposal strategy, including identifying strong project examples and crafting vision statements.
• Manage proposal timelines, responsibilities, and inputs from internal teams and external consultants.
• Customize project profiles, team CVs, and other content to fit pursuit requirements.
• Compile and format submission documents and oversee their delivery.
• Research and evaluate bid opportunities, supporting go/no-go discussions with strategic insight.
• Maintain collateral databases, including narratives, team CVs, and boilerplate content.
• Conduct peer reviews of proposals to uphold quality standards.
• Support broader marketing and business development initiatives.
• Contribute to a safe, inclusive, in-office work environment.

We are currently seeking a Senior Proposal Specialist tojoin our Toronto/ Calgary Studio. The ideal candidate brings strong proposalstrategy, exceptional writing and coordination skills, and the ability to leadcompelling submissions from opportunity through to final delivery.

Job Summary

The Senior Proposal Specialist plays a key role indeveloping compelling, high-quality proposals that position the firm forsuccess in competitive pursuits. Working closely with the Proposals andBusiness Development team, this role leads the coordination, writing, andproduction of submissions that align with strategic goals and reflect thefirm’s brand.

Key Responsibilities

• Lead thedevelopment, writing, editing, and design of competitive proposals inresponse to RFPs, ensuring clarity, compliance, consistency, and alignmentwith brand and messaging.


• Collaborate withthe BD team to shape proposal strategy, includingidentifying strong project examples, crafting vision statements, andsupporting positioning efforts.


• Manage proposaltimelines, responsibilities, and inputs from internal teams and externalconsultants to ensure timely, high-quality submissions.


• Customize projectprofiles, team CVs, and other content to fit the unique requirements ofeach pursuit.


• Compile and formatsubmission documents and oversee their delivery.


• Research andevaluate bid opportunities on assigned platforms, supporting go/no-godiscussions with strategic insight.


• Maintain andupdate accurate collateral databases, including project narratives, teamCVs, and boilerplate content.


• Conduct peerreviews of proposals to uphold quality standards and share best practicesacross the team.


• Support broadermarketing and business development initiatives as required.


• Activelycontribute to a safe and respectful workplace, adhering to all health andsafety policies and procedures.


• Participatein firm-wide marketing initiatives and brainstorming sessions


• Ableto work in a collaborative, in-office environment (100% in-office presencerequired to support direct team engagement and effective cross-functionalcoordination)
