Job summary

SyBridge Technologies in Canada is seeking a Senior Payroll & HRIS Specialist to manage accurate, timely payroll and the day-to-day administration of our HRIS, including onboarding and reporting.

You will lead implementation efforts for a new HRIS, configure the system, validate data, and support users, while maintaining data integrity and compliance with payroll laws.

Qualifications

  • 7+ years of hands-on payroll processing experience.
  • Strong HRIS administration experience.
  • Experience supporting HRIS implementation, migration or upgrades.
  • ADP experience is preferred.
  • Rippling experience is considered an asset.
  • Strong understanding of payroll processes and legislation.
  • HRIS reporting, data management and troubleshooting skills.
  • Excellent Excel and data analysis skills.

Responsibilities

  • Process bi-weekly payroll accurately and on time with earnings, deductions, and benefits.
  • Maintain payroll records and ensure changes reflect in the system.
  • Coordinate year-end activities and reporting (T4s, etc.).
  • Respond to payroll inquiries and resolve issues with employees/managers.
  • Serve as HRIS administrator: manage records, access, and data integrity.
  • Develop HRIS reports and support data requests from HR/management.
  • Assist with HRIS implementation: configuration, testing, data migration, validation.
  • Onboard new employees and ensure accurate data entry and documentation.

Key Responsibilities

The Senior Payroll & HRIS Specialist is responsible for the accurate and timely processing of payroll and the day-to-day administration of the company’s HRIS. This role will serve as a key resource for payroll, employee data, system administration, onboarding, reporting, and HRIS-related processes.

The Senior Payroll & HRIS Specialist will also play a key role in the implementation of the company’s new HRIS, including system configuration, data validation, testing, process development, troubleshooting, and user support.

Payroll:
  • Process bi-weekly payroll accurately and on time, including regular earnings, overtime, bonuses, deductions, benefits, and other adjustments.
  • Review payroll data and reports to identify and resolve discrepancies prior to payroll submission.
  • Maintain accurate employee payroll records and ensure changes are reflected appropriately in the payroll system.
  • Coordinate payroll-related year-end activities, including T4s and other required reporting.
  • Respond to payroll inquiries and work with employees and managers to resolve issues.
  • Ensure payroll practices comply with applicable federal and provincial legislation.
HRIS Administration:
  • Serve as the primary administrator and subject matter expert for the company’s HRIS.
  • Maintain employee records, organizational structures, job information, compensation, benefits, and other HR data.
  • Manage system access, workflows, approvals, and user permissions.
  • Maintain data integrity and conduct regular audits to ensure employee information is accurate and complete.
  • Develop and maintain HRIS reports and provide HR data and reporting as required.
  • Troubleshoot system issues and work with vendors or internal IT resources when necessary.
  • Identify opportunities to improve HR processes through better use of HRIS functionality.
HRIS Implementation:
  • Play a key role in the implementation of the company’s new HRIS.
  • Support system configuration, testing, data migration, and validation.
  • Review current HR and payroll processes and recommend improvements for the new system.
  • Participate in user acceptance testing and resolve system or data issues.
  • Assist with developing procedures, documentation, and training materials.
  • Support the transition from existing systems to the new HRIS and help ensure a smooth implementation.
  • Provide ongoing system support and training following implementation.
Onboarding & Employee Data:
  • Complete system onboarding for new employees and ensure all required information and documentation is entered accurately.
  • Ensure employee changes, transfers, promotions, compensation changes, and terminations are processed promptly.
  • Support managers and employees with HRIS-related questions and system functionality.
Qualifications & Experience:
  • 7+ years of hands‑on payroll processing experience, preferably in a multi-site environment.
  • Strong, high‑level experience administering and managing an HRIS.
  • Previous experience supporting an HRIS implementation, migration, or major system upgrade.
  • ADP experience is preferred.
  • Rippling experience is considered an asset.
  • Strong understanding of payroll processes, controls, and applicable employment and payroll legislation.
  • Experience with HRIS reporting, data management, system configuration, and troubleshooting.
  • Strong Excel and data analysis skills.
  • Excellent attention to detail and accuracy.
  • Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines.
  • Ability to maintain confidentiality when handling sensitive employee and payroll information.
  • Strong problem-solving skills and the ability to work independently.
