Job Summary
The Senior Operations Coordinator provides high-level administrative and operational support to the Executive Directors overseeing the Student Affairs and Student Academic Affairs portfolios. Serving as the first point of contact for the Executive Directors’ offices, the incumbent assists with managing and prioritizing competing demands. The role includes providing leadership and direction to the Operations Coordinators by setting priorities, delegating tasks, and reviewing completed work. The Senior Operations Coordinator also manages all matters related to the Executive Directors’ calendars, coordinates meetings with internal and external partners, and ensures the Executive Directors are fully prepared for all scheduled meetings and events.
Qualifications
- Completion of a two-year diploma from a recognized post-secondary institution is required.
- Minimum five (5) years of office administration experience is required, preferably at the senior assistant/coordinator level, and preferably in a post-secondary environment or similar complex organization.
- Supervisory experience or experience leading teams is preferred.
- Demonstrates strong interpersonal and written communication skills, with the ability to engage effectively and professionally with diverse stakeholders across all levels of the organization.
- Exceptional organizational and time management skills, with the ability to independently prioritize tasks, manage multiple deadlines, and adapt to changing priorities in a fastpaced environment.
- Demonstrates a high degree of professionalism, discretion, and sound judgment in handling sensitive and confidential information, always maintaining trust and integrity.
- Advanced knowledge of office administration functions, including workflow coordination, executive calendar and records management, accounting practices and financial reporting, and the development of efficient administrative systems to support high-level operations.
- High level of competency in a variety of software applications, including Microsoft Outlook calendar/email, Word, and Excel.
- Demonstrated experience in committee and meeting support, including scheduling, agenda preparation, note-taking, and follow-up.
- Formal or informal learning related to leading in a post-secondary institution (e.g., supervisory skills, educational leadership, indigenization, student success) would be an asset.
- Demonstrated ability to respond to circumstances that involve conflict, vulnerable populations, highly sensitive topics, risk, etc.
