Raise is currently hiring a Senior Executive Assistant on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader. Our client is one of North America's leading energy infrastructure companies with operations in natural gas, oil, and power industries throughout Canada, the United States, and Mexico.

Note: The primary pay rate is based on T4 classification; however, we will also consider applications from candidates interested in an INC classification, where applicable.

Description

The Senior Executive Assistant in this role will provide comprehensive and confidential support to senior executives. This role requires exceptional organizational abilities, proactive problem-solving skills, and the ability to manage complex tasks in a fast-paced, dynamic environment. The successful candidate will be a trusted partner to the executive, ensuring the efficient and effective operation of their office and contributing to the overall success of the organization.

Responsibilities
  • Executive Support:
    • Manage the executive's complex calendar, including scheduling meetings, appointments, and travel arrangements, while optimizing their time and prioritizing commitments.
    • Anticipate the executive's needs and proactively prepare materials, agendas, and itineraries for meetings and travel.
    • Screen and prioritize incoming communications (phone calls, emails, mail), responding or redirecting as appropriate, and ensuring timely follow-up.
    • Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
    • Coordinate and organize meetings, including booking venues, arranging catering, and managing logistics.
    • Prepare expense reports and ensure compliance with company policies.
    • Handle highly confidential information with discretion and integrity.
  • Communication and Relationship Management:
    • Serve as a primary point of contact for internal and external stakeholders, including senior executives, board members, clients, and partners.
    • Build and maintain strong relationships with key individuals, fostering effective communication and collaboration.
    • Communicate effectively and professionally, both verbally and in writing, with individuals at all levels of the organization.
    • Act as a liaison between the executive and their team, ensuring clear and consistent communication of information and directives.
  • Project and Administrative Support:
    • Manage and track projects, ensuring deadlines are met and deliverables are completed.
    • Assist with the preparation and monitoring of budgets.
    • Organize and maintain electronic and paper filing systems, ensuring efficient retrieval of information.
    • Coordinate department activities, events, and initiatives as required.
    • Develop and implement administrative processes and procedures to improve efficiency and effectiveness.
  • Other duties: Perform other duties and responsibilities as assigned.
Qualifications
  • 10+ years of experience providing executive-level support to senior executives in a corporate environment.
  • Experience in the energy industry is an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Experience with other relevant software (e.g., SAP, Workday) is an asset.
  • Experience with managing complex calendars, including scheduling meetings, appointments, and travel arrangements.
  • Experience with managing and tracking projects, ensuring deadlines are met and deliverables are completed.
  • Strong communication and interpersonal skills: Ability to communicate effectively and professionally with individuals at all levels, both verbally and in writing.
  • High school diploma required; post-secondary education or certification in business administration or a related field is preferred.
  • Proactive and problem-solving skills: Ability to anticipate needs, identify potential issues, and develop solutions independently.
