Job description

Our client is seeking a highly organized and proactive Executive Assistant to support their C-Suite Executives. Join a close-knit team in a thriving company located in the Peel Region!

The daily responsibilities include managing administrative tasks, coordinating schedules, and ensuring smooth operations. The ideal candidate will have excellent communication skills, meticulous attention to detail, and the ability to handle confidential information discreetly.

Responsibilities
  • Manage calendars for up to three C-Level executives and the Director of Operations, including scheduling meetings and appointments.
  • Handle email communications, drafting and responding on behalf of the executives.
  • Prepare reports, presentations, and other documents using PowerPoint.
  • Arrange travel plans and itineraries within the GTA and across Canada.
  • Coordinate projects and events.
  • Serve as the primary contact between executives and internal/external stakeholders.
  • Complete expense reports and manage documents.
  • Document meetings with minutes and action items.
  • Manage projects with an emphasis on budget control and operational efficiency.
Qualifications

Must-Have:

  • At least 5 years of experience as an Executive Assistant or in a senior administrative role.
  • Advanced organizational and time management skills.
  • Excellent written and verbal communication skills, demonstrating professionalism.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to thrive in a fast-paced environment with multiple priorities.
  • Discretion and ability to protect confidential information.
  • High energy, proactive approach, and problem-solving skills.

Nice-to-Have:

  • Experience in a regulated, fast-paced industry.
  • Experience with owner-operated businesses.
  • Project management experience.
  • Knowledge of automation and AI tools.
