Position Overview
The Senior Contracts Administrator will play a crucial role in managing commercial agreements, contract administration, and financial oversight. Reporting to the Commercial Manager, this position ensures accurate documentation, compliance with corporate policies, and coordination with subcontractors.

Location
The position will be based on our project in Darlington, ON.
Responsibilities
- Review commercial agreements, including requests for quotation, requests for proposals, confidentiality agreements, pre-bid agreements, purchase orders, subcontracts, contracts, consortium agreements, joint venture agreements, and make recommendations to operating staff during various project phases.
- Work closely with the Project Manager and Project Team.
- Liaise with the subcontract formation team on commercial issues and coordinate handover of completed subcontract packages at award.
- Draft or amend contracts and commercial agreements.
- Create project-specific contract administration tools, policies, and procedures.
- Support the Contracts Manager or Legal/Commercial group.
- Assist project staff with interpretation and application of contract documents, including changes and claims.
- Guide and liaise with team members on contract matters.
- Facilitate payments to subcontractors, including processing and verification of progress billings and back charges.
- Work with other teams to prepare monthly project financial reports.
- Review cost reports timely.
- Document significant project events.
- Monitor and maintain change order logs.
- Ensure contract team is aware of due dates.
- Coordinate and prepare claims as required.
- Draft notices of change or events requiring client notice.
- Manage performance security for subcontractors.
- Conduct financial reviews of subcontractors prior to award.
- Serve as main contact for contract communication with subcontractors.
- Coordinate meetings and deliverables with subcontractors.
- Collaborate with other functions on subcontractor deliverables.
- Provide commercial updates during site meetings.
- Coordinate with Legal department as needed.
- Transmit documents to clients.
- Assist in preparing reports with the Contract Manager.
- Set and monitor vendors’ KPIs and performance.
- Conduct quality control on all client documents.
- Prepare packages for management signatures.
- Update change order and commercial action logs.
- Provide updates on contract changes and correspondence for reports.
- Document and circulate changes to templates and affected parties.
Qualifications
- Bachelor’s degree or equivalent in Business Administration, Law, Communications, Paralegal, or Engineering.
- Understanding of legal documents, contracts, and interpretation.
- Knowledge of contract administration procedures.
- Experience in drafting and administering contracts.
- Proficiency in Microsoft Office, especially Word.
- Experience with SAP is an asset.
- Sound judgment and leadership skills.
- Good interpersonal and analytical skills.
- Willingness to travel 10-15% to project sites or offices.
- Ability to work in a fast-paced environment.
- Strong planning and time management skills.
