Job description

Posting Closing Date: 2 March 2025

Team Rubicon Canada (TR Canada) is a veteran-led humanitarian organization, built to serve global communities before, during, and after disasters and crises. Our people, known as Greyshirts, are the cornerstone of our mission and success. We are committed to fostering an environment that embodies the principles of Diversity, Equity, Inclusion, and Belonging (DEI&B)—inclusive of beliefs, cultural backgrounds, job experiences, thoughts, and ideas—across all aspects of our operations.

We are seeking a Senior Associate, Operations Support. You are a detail-oriented, proactive, and highly organized professional with a passion for logistics and operational support. Reporting to the Manager, Operations Support, you will play a crucial role in facilitating personnel and equipment movement for TR Canada’s operations and training events. As the Senior Associate, Operations Support, you will be responsible for coordinating mobilization logistics, supporting headquarters (HQ) events, and contributing to national membership and outreach initiatives.

The right person is a self-starter and team player with excellent oral and written communication skills. Our culture requires individuals foolish enough to think they can change the world and competent enough to have a chance. Every day is a challenge, but every month brings new opportunities. This is a hybrid role with some duties in our Mississauga, ON, Headquarters as well as a requirement for work-related travel.

Duties:

  • Plan and coordinate personnel and equipment movement in support of operations and training events.
  • Book air, rail, and maritime travel for personnel movement.
  • Arrange vehicle rentals and coordinate ground movement logistics.
  • Collaborate with event owners, logistics representatives, and Logistics Section Chiefs to ensure smooth mobilization and demobilization.
  • Manage personnel deployment and movement using Enterprise Management Suite, SAP Concur/Direct Travel, and Microsoft 365.
  • Coordinate and manage vehicle and site insurance for TR Canada operations and training events.
  • Assist with logistics system implementation and management.
  • Provide remote and on-the-ground logistical support for operations.
  • Support national membership outreach and recruitment initiatives.
  • Maintain and track movement-related expenditures as required by TR Canada finance policies and procedures.
  • Other duties as assigned.

Experience and Background:

  • Bachelor’s degree (in Business, Supply Chain Management, Logistics, or a related field) or equivalent combination of education and experience.
  • 2+ years of experience in logistics, operations, volunteer management, or related fields (experience with Team Rubicon Canada preferred).
  • Professional designations required/preferred.
  • Proven track record of managing remote teams and coordinating complex logistics.
  • Strong planning, organizational, and problem-solving skills.
  • Experience managing budgets and expense tracking for logistics and mobilization activities.
  • Demonstrated ability to analyze logistics data to improve efficiency and inform decision-making.
  • Excellent written and verbal communication skills.
  • Ability to work independently, manage multiple projects, and meet deadlines in a fast-paced environment.
  • Adaptability to new technologies and systems.
  • Professional experience with Asana Project Management software and Microsoft Office Suite.
  • Passion for the mission and values of Team Rubicon Canada.

Job Type:

  • Pay Range: $55,000 - $65,000

Special Requirements:

  • Military veterans strongly encouraged to apply.
  • Access to a stable internet connection for hybrid work environment.
  • Ability to work non-traditional hours, including weekends and evenings.
  • Occasional travel, including overnight travel across North America, including deployment to disaster response operations.
  • Must be comfortable working in austere conditions when required.
  • Fluency in Canada’s Official Languages an asset.

Cultural Values:

  • Mission First, Greyshirt Always: Anyone joining TR Canada must understand that our mission to provide disaster response comes first.
  • Step into the Arena: TR Canada needs leaders who dare to be great.
  • Everyone Has a Role; Know It: As teammates, we aspire to work in harmony toward achieving a higher goal than any one of us could accomplish on our own.
  • GSD: We are entrepreneurial, resourceful, and determined, no matter how chaotic the situation.
  • Change Your Socks: We take care of ourselves and each other so we are best equipped to serve those in greatest need.
  • Adults Only: Every team member is an adult until proven otherwise.
  • Your Mother’s A Donor: Every leader must be committed to fiduciary responsibility, transparency, and financial stewardship.

Perks of the Team:

  • Professional development and leadership development opportunities.
