In this role as a Senior Administrative Assistant, you will play an integral part in supporting departmental leadership, ensuring the smooth operation of business activities, and contributing to the team's overall success. What you will be doing!
  • Managing office activities and providing administrative support to departmental leadership.
  • Acting as a front-line contact for internal and external inquiries while screening, prioritizing, and tracking correspondence.
  • Coordinating meetings, preparing agendas, recording meeting minutes, and arranging meeting logistics.
  • Preparing, editing, formatting, and assembling presentations, reports, records, and confidential documentation.
  • Compiling, tracking, analyzing, and reporting on project, schedule, budget, and operational data.
  • Coordinating domestic and international travel arrangements, conference registrations, itineraries, and expense claims.
  • Supporting hiring, performance management, succession planning, and other human resources activities.
  • Maintaining SharePoint sites, electronic filing systems, shared folders, tracking spreadsheets, and departmental records.
  • Assisting staff with preparing and issuing correspondence, reports, and other business documents.
  • Monitoring action items and tracking deliverables to ensure commitments are completed on schedule.
  • Preparing procurement documentation, purchase requests, and office supply orders.
  • Participating in process improvement initiatives, audits, and administrative support activities across the department.
  • Other duties as assigned by your manager.
What We Are Looking For
Education
  • Successful completion of secondary school (Grade 12) with related experience, or a college diploma in a related discipline such as Office Administration.
Experience
  • A minimum of five years of experience in an administrative assistant role or equivalent experience.
  • Experience providing administrative support to managers and senior leaders.
Knowledge, Skills & Abilities
  • Strong proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and SharePoint.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong verbal and written communication skills.
  • Exceptional attention to detail and commitment to accuracy.
  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
  • Strong interpersonal skills and the ability to build effective working relationships with stakeholders at all levels.
  • Demonstrated initiative, adaptability, sound judgment, and problem-solving abilities.
Security Clearance Eligibility Required
  • Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3-5 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's “Standard on Security Screening” and the “Policy on Government Security.”
Working Conditions
  • Working schedule: Five (5) days per week, seven and a half (7.5) hours per day for a thirty-seven and a half (37.5) hour work week.
