Job summary

Altis in Brampton, Canada, seeks an Executive Assistant to support senior leaders on a major transit project, ensuring priorities and schedules are effectively managed, and coordinating high-level initiatives.

You will prepare correspondence, reports, presentations, meeting agendas, and minutes; arrange meetings, travel, events; maintain records; handle confidential information with discretion; and liaise across departments to keep operations running smoothly.

Qualifications

  • 2+ years of experience in an Executive Assistant or similar role.
  • Bachelor's degree in Business Administration, Communications, or related discipline.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in English.
  • Strong organizational and time-management abilities; capacity to manage multiple priorities.
  • Demonstrated ability to maintain confidentiality, exercise sound judgment, and work independently.

Responsibilities

  • You'll provide executive-level administrative support to senior leadership, ensuring priorities and schedules are effectively managed.
  • You'll prepare professional correspondence, reports, presentations, meeting agendas, and accurate meeting minutes.
  • You'll coordinate meetings, travel arrangements, special projects, corporate events, and executive activities.
  • You'll prepare recurring and ad hoc reports while maintaining accurate records and documentation.
  • You'll manage office supply inventory, coordinate vendor relationships, and monitor service-related contracts.
  • You'll support board meeting preparation, including agenda development and compilation of meeting materials.
  • You'll handle confidential information with discretion while providing exceptional administrative support across multiple departments.
