Job summary

Schlegel Villages is seeking a Scheduling Coordinator in Windsor, ON to manage daily shift coverage and support residents, families and staff. You will work with village leaders to fill shifts, coordinate vacation coverage, and handle schedule inquiries with a focus on care and service excellence.

The role requires a solid office administration background, strong communication, and the ability to balance competing priorities.

Qualifications

  • Office administration certificate or equivalent experience.
  • Exceptional customer service and communication skills.
  • Efficient in managing conflicting priorities.
  • Proficient in Microsoft Office 365 and related programs.

Responsibilities

  • Fill shifts daily with village leaders and ensure coverage.
  • Provide exceptional customer experience to residents, families and team members.
  • Send out shift requests according to the village collective agreement.
  • Coordinate vacation coverage with village leaders.
  • Prioritize needs based on vacancy reports and schedules.
  • Serve as first point of contact for schedules and inquiries.

Job description

The Village of Aspen Lakehas an exciting opportunity for a Scheduling Coordinator to join their team.

  • Status: Temporary Part-Time
  • Location: Village of Aspen Lake , Windsor ON
  • Expected Start Date: September 7, 2026

The expected hiring range for this position is $41,000 to $46,250. This role falls within a broader internal salary band, with growth opportunities based on demonstrated performance.

As our new Scheduling Coordinator, you will:
  • Work closely with the Village leaders to ensure all shifts are filled on a daily basis.
  • Demonstrate exceptional customer service and communication skills
  • Send out shift requests as per the village collective agreement.
  • Collaborate with the village leaders to plan for vacation coverage of team members.
  • Prioritize village needs as per the vacancy report.
  • Display a caring and respectful attitude toward our residents, families, and team members
  • Be the first point of contact for many of our team, residents, families and visitors
  • Connect with employment agencies when shifts are not internally filled.
  • Provide exceptional customer experience while acting as the first point of contact for team member questions about schedules, call-ins and open shifts.
  • Support administrative assistance with office coverage.
  • Create exceptional customer experiences for incoming queries, from residents, families and team members.
  • Support and embrace our resident-centered social culture and be proud to deliver the highest quality of service to our residents, visitors, and team members through comprehensive and effective support.
To be successful as the Scheduling Coordinator, you will
  • Have an office administration certificate or equivalent experience.
  • Demonstrate exceptional customer service and communication skills.
  • Efficient in the ability to manage conflicting priorities.
  • Be proficient in Microsoft Office 365 and other computer programs.
  • Display a caring and respectful attitude toward our residents, families, and team members.
It would be an asset if you have:
  • Previous experience working in the context of a Long-Term Care or Retirement Home.
