Job summary

Portland Tractor Inc. in Edmonton, Alberta, is seeking a highly organized Sales & Warehouse Coordinator to support sales teams, customers, vendors and warehouse staff.

You will process orders, ensure inventory accuracy, manage CRM and shipping records in Sage ERP, and help with cycle counts and safety. The role requires excellent communication, strong organizational skills, and the ability to multitask in a fast-paced environment.

Qualifications

• Previous experience in a Sales Coordinator or similar role.
• Strong customer service orientation and attention to detail.
• Experience with ERP systems; Sage ERP is a plus.
• Proficiency with Microsoft Office (Outlook, Excel, Teams).
• Excellent verbal and written communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Experience with shipping, receiving, inventory control, and warehouse operations.
• Forklift certification or the ability to obtain certification.

Responsibilities

• Provide administrative and operational support to the Sales team, ensuring efficient order processing and a high level of customer satisfaction.
• Coordinate with customers, vendors, freight carriers, and internal teams regarding orders, product availability, backorders, shipping, and delivery updates.
• Maintain accurate customer, order, pricing, CRM, and shipping records in Sage ERP.
• Process returns, RMAs, warranty claims, credits/rebills, and other customer and vendor transactions.
• Prepare shipping documentation, coordinate freight and courier pickups, and track shipments through to delivery.
• Inspect, receive, label, and organize incoming inventory, including documenting and resolving shortages, damages, and discrepancies.
• Maintain accurate inventory records, bin locations, and warehouse transactions, and assist with cycle counts and annual physical inventory.
• Operate forklifts, pallet jacks, and other warehouse equipment safely and in accordance with company policies.
• Maintain a clean, organized, and safe warehouse while supporting inventory accuracy and continuous improvement initiatives.
