Job summary

ViVitro Labs, an ISO 17025-accredited testing laboratory and cardiovascular device innovator, seeks a Sales Support Specialist in Victoria, BC. You will coordinate orders, maintain documentation, and support sales across departments to keep projects moving forward.

Ideal candidates are organized, detail-oriented, and proficient with ERP/CRM systems and Microsoft Office. Compensation includes a competitive salary and benefits as part of a collaborative team.

Qualifications

• Certificate or diploma in business administration or equivalent.
• At least three years in an office environment; sales support experience is a strong asset.
• Experience with ERP and CRM systems.
• Proficiency with Microsoft Office, especially Excel and Word.
• Strong organizational skills and meticulous attention to detail.
• Excellent interpersonal and communication skills; collaborate across departments.
• Ability to work independently with minimal supervision.

Responsibilities

• Manage customer orders from entry to shipping, invoicing, and AR follow-up.
• Coordinate customer communications on order status and delivery timelines with Manufacturing.
• Maintain customer data in ERP/CRM and follow up after shipment.
• Prepare, update, and maintain sales and order documentation and QMS records.
• Maintain and report on order KPIs and monthly reporting; manage marketing assets inventory.
• Assist with trade shows and marketing activities as needed.
• Work across departments to identify barriers and keep orders moving forward.
• Support senior management with additional projects in a small, collaborative team.
