Job description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Sales Operations Analyst – Payward Services based in Canada.

As a Sales Operations Analyst, you will play a central role in supporting business development activities across institutional financial services and digital asset infrastructure. You will help streamline sales processes, manage complex client documentation, and ensure commercial teams have the information and resources needed to close business opportunities efficiently. Acting as a key coordination point between Sales, Legal, Compliance, Product, Engineering, and Solutions teams, you will oversee RFP and due diligence processes from initial preparation through final submission. You will also maintain CRM accuracy, develop pipeline reporting, qualify incoming leads, and support seamless customer onboarding. By transforming operational data and customer feedback into actionable business insights, you will help improve sales performance and support strategic decision-making. This is an exciting opportunity to contribute to the evolution of global financial infrastructure within a fast‑moving, international, and fully remote environment.

Accountabilities:
  • Manage end-to-end Request for Proposal (RFP) and Due Diligence Questionnaire (DDQ) processes, from initial request assessment and coordination through final review and submission.
  • Review incoming client questionnaires, identify relevant technical, security, and compliance requirements, and coordinate responses with the appropriate internal specialists.
  • Collaborate with Legal, Compliance, Security, Product, Engineering, Solutions, and other stakeholders to collect, validate, and consolidate accurate information within established deadlines.
  • Establish clear timelines, assign responsibilities, and proactively follow up with contributors to ensure complete and timely responses.
  • Oversee document preparation, assembly, editing, and formatting to ensure all client submissions are accurate, professional, and consistent.
  • Coordinate internal preparation for major client presentations and due diligence meetings, ensuring stakeholders are aligned and all required materials are ready.
  • Track meeting action items and follow up with relevant teams to ensure outstanding questions and commitments are resolved.
  • Qualify incoming business leads by reviewing initial information, asking follow‑up questions when necessary, and directing opportunities to the appropriate sales representatives or self‑service onboarding channels.
  • Maintain the accuracy and integrity of CRM information, including accounts, contacts, opportunity stages, and customer outreach activities, ensuring consistency across internal systems.
  • Build and maintain sales pipeline reports and dashboards, including opportunity stages, conversion metrics, funnel performance, and forecasting inputs.
  • Prepare reporting materials and operational insights for weekly pipeline reviews with sales leadership.
  • Manage the transition from signed commercial agreements to customer onboarding, verifying that contracts, pricing, and billing information are complete before handing over to Solutions and Finance teams.
  • Analyze customer interactions, meeting notes, and CRM activity to produce weekly customer insights and identify recurring product requests, competitor feedback, and pricing trends.
  • Share relevant customer intelligence with Sales, Product, and leadership teams to support commercial strategy and product development.
  • Develop and maintain a centralized library of approved RFP and DDQ responses, leveraging AI‑powered tools to prepare accurate and consistent initial drafts.
  • Identify operational inefficiencies, improve sales workflows, and implement automation solutions to reduce repetitive administrative tasks.
  • Support additional sales operations and business development initiatives as required.
Requirements:
  • At least 3 years of professional experience in sales operations, sales support, proposal management, or a related commercial operations role.
  • Experience within banking, fintech, financial services, cryptocurrency, or digital assets is highly desirable.
  • Proven experience managing RFPs, DDQs, security questionnaires, compliance documentation, or other complex proposals involving multiple internal contributors.
  • Demonstrated ability to coordinate cross-functional stakeholders, including Legal, Compliance, Security, Product, Engineering, and commercial teams.
  • Hands‑on experience using CRM platforms to manage customer information, sales activities, and opportunity pipelines. Familiarity with Attio is an advantage, while experience with Salesforce or HubSpot is transferable.
  • Ability to develop basic reports, dashboards, and pipeline performance analyses to support sales forecasting and business decisions.
  • Excellent writing, editing, and document formatting skills, with strong attention to accuracy, consistency, and professional presentation.
  • Clear and confident communication skills, with the ability to interact effectively with senior internal stakeholders and external clients.
  • Understanding of institutional and business‑to‑business (B2B) sales cycles, preferably within financial services or technology‑driven industries.
  • Genuine interest in cryptocurrency, blockchain technology, and digital assets. Previous industry experience is not essential.
  • Strong organizational and project coordination skills, with the ability to manage multiple requests, competing priorities, and tight deadlines.
  • Proactive and process‑oriented mindset, with the ability to identify operational challenges and implement practical improvements.
  • High attention to detail and a strong sense of accountability when managing sensitive commercial information and client documentation.
  • Ability to work independently while collaborating effectively with geographically distributed teams.
Nice to Have:
  • Previous experience in banking, institutional sales, or B2B infrastructure and API‑based products.
  • Familiarity with vendor due diligence processes, security assessments, and compliance questionnaires.
  • Experience using AI‑powered tools to streamline document preparation, improve proposal management, or automate repetitive operational workflows.
  • Knowledge of financial technology infrastructure, digital asset services, trading, payments, custody, or settlement solutions.
Benefits:
  • Fully remote working environment, with opportunities to collaborate across international markets.
  • Full‑time employment opportunity within a global financial technology and digital assets ecosystem.
  • Opportunity to work alongside experienced professionals across Sales, Product, Legal, Compliance, Engineering, and Business Operations.
  • Exposure to institutional financial services, cryptocurrency, blockchain technology, and digital asset infrastructure.
  • Opportunity to contribute to the development and optimization of scalable sales operations processes.
  • Hands‑on experience with modern CRM platforms, AI‑powered tools, and workflow automation technologies.
  • International and multicultural working environment that values diverse perspectives, skills, and professional backgrounds.
  • Opportunities for continuous learning and professional development within a rapidly evolving industry.
  • Inclusive workplace culture focused on merit, collaboration, individual contributions, and equal employment opportunities.
