Job summary

Rush Truck Centres of Canada is seeking an Idealease Coordinator to report to the Idealease Manager. This on-site role requires coordinating rental operations, dispatching vehicles, overseeing invoicing, and learning asset management.

You will ensure OHSA compliance, manage rental reservations, open/close rental agreements, perform equipment checks, verify driver credentials and insurance, and coordinate maintenance with internal and external shops.

Qualifications

  • Post-secondary education required (College or University Diploma/Degree).
  • Truck or automotive dealership experience is an asset.
  • Strong customer service, administrative skills and time management needed.
  • Proficiency with software and computers is required.
  • Detail-oriented with excellent verbal and written communication skills.
  • Criminal Record Check required.
  • Driver's Abstract required.

Responsibilities

  • Ensure OHSA compliance and uphold Health and Safety Policy.
  • Coordinate rental reservations and understand vehicle requirements.
  • Invoicing and general administration duties.
  • Learn Idealease business systems (Idealease Portal, Rental Contract & Billing System, Geotab, SAP).
  • Open/close rental agreements and manage check-in/out of rental equipment.
  • Verify vehicle fluid levels, cleanliness and functionality; document damages with photos.
  • Validate driver credentials and insurance requirements.
  • Conduct daily yard checks and reconcile fleet availability.
  • Coordinate damage repair and chargeback processes.
  • Schedule preventative maintenance with customers and shops.
  • Make recommendations for vehicles to meet regional demand.
  • Maintain relationships with customers and suppliers.
  • Follow up on inbound rental leads and process applications.

The Idealease Coordinator will report to the Idealease Manager. This is an on-site role with some outdoor work required. This person will be expected to maintain existing account relationships and generate new rental accounts. They will coordinate operations by dispatching our rental vehicles, oversee our customer invoicing, coordinate maintenance and learn hands-on asset management skills.


Responsibilities


Operations Related Duties



  • Ensure compliance of all Occupational Health and Safety Act (OHSA) regulations, as well as the Company’s Health and Safety Policy.

  • Coordinate rental reservations and understand commercial vehicle requirements.

  • Invoicing and general administration duties.

  • Become proficient with Idealease business systems (Idealease Portal, Rental Contract & Billing System, Geotab, SAP, etc.)

  • Administer the opening/closing of rental agreements.

  • Check out/in rental equipment, damage documentation with pictures, verify vehicle fluid levels, cleanliness, equipment functionality, etc.

  • Validate customer driver credentials and ensure insurance requirements are met.

  • Complete daily yard checks and reconcile availability fleet lists

  • Coordinate the damage repair and chargeback process

  • Coordinate preventative maintenance & repair scheduling with customers through our internal and external shops


Fleet Related Duties



  • Make recommendations to the management team for ordering vehicles that fit the regional market demands.

  • Establish and maintain good working relationships with customers and suppliers.

  • Other related duties as assigned.


Sales Related Duties



  • Follow up with inbound leads for new rental accounts.

  • Submit customer profiles and applications for approval

  • Work with existing rental customers by providing customer service and conflict resolution.


Basic Qualifications



  • Post-secondary education; College or University Diploma/Degree.

  • Truck or automotive dealership experience is an asset

  • Competency in the following areas is required: customer service, administrative skills, and time management.

  • Proficiency with software and computers.
