Job summary

The YMCA-YWCA of Winnipeg is seeking a Registrar to manage camp and child care program registrations, payments, subsidies, and donor receipts. You will maintain databases and communicate with families, coordinating transportation when needed.

Ideal candidates have office experience, customer service background, strong computer skills, and excellent organization with the ability to handle multiple tasks and changing priorities.

Qualifications

  • 1 year of office environment experience.
  • 2 years in customer service.
  • Strong computer and data entry skills with attention to detail.
  • Excellent organization and time management abilities.
  • Proven ability to manage multiple tasks and shifting priorities.
  • Database experience is an asset.

Responsibilities

  • Manage camp and child care registration: new participants, groups, updates and withdrawals.
  • Receive, process and monitor fee payments and refunds.
  • Manage camp subsidy applications: evaluation, communications, confidentiality.
  • Accurately maintain the registration database.
  • Receive, process and monitor payments and apply subsidies.
  • Communicate with parents/guardians by email, mail, and phone about waitlists, registrations and accounts receivable.
  • Coordinate buses for campers and oversee departure and arrival.
  • Prepare and issue official tax receipts for donors.
  • Enter constituent information into the Fundraising database.
  • Package materials for volunteers and prospective donors.
  • Assist with campaign volunteer training manuals preparation.
  • Prepare campaign reports and filing records.
  • Provide additional support to the larger team as needed.

The Registrar is responsible for the shared duties related to Philanthropy and engagement, child care, camp registration as well as basic reception support in an office environment. Working as part of a team, the Registrar will also provide administrative support to other areas of the association.

Are you the right fit?

  • Enter constituent information into Fund Raising database
  • Package materials for use by volunteers and prospective donors
  • Assist with preparation of campaign volunteer training manuals
  • Prepare campaign reports as required and filing campaign records
  • Provides additional support to the larger team as needed
What else do you need?
  • 1 year exerience in an office environment
  • 2 years experience in a customer service role
  • Strong computer skills, accurate data entry skills and great attention to detail
  • Strong organization and time management skills
  • Proven ability to manage multiple tasks and changing priorities
  • Excellent customer service skills with the ability to deal with challenging situations
  • Database experience is an asset
