Make an impact with our Toronto Advisory Regional Marketing team as a Marketing Assistant. Responsibilities
The Marketing Assistant provides essential administrative and coordination support across a range of marketing initiatives. This role is instrumental in ensuring the smooth execution of events, campaigns, and communications, while contributing to the broader goals of the marketing team. The ideal candidate brings a positive attitude, a strong willingness to learn, and a keen eye for detail. They are proactive, adaptable, and thrive in a dynamic, fast-paced environment.
General Administrative & Marketing Support
- Execute a high volume of administrative tasks across marketing functions, including event coordination, sponsorship logistics, advertising, digital campaigns, and social media scheduling
- Manage the marketing events calendar, schedule meetings (including agendas and minutes), and coordinate room bookings
- Oversee mailing and courier services for marketing materials and events
- Coordinate internal headshot photoshoots and maintain image libraries
- Format marketing documents such as presentations, reports, and correspondence
- Maintain and update databases, including client lists and distribution lists
- Monitor and manage inventory of marketing and promotional materials
- Gather and compile market research to support planning and decision-making
Marketing Collateral & Digital Requests
- Update and create marketing materials such as fact sheets, insight articles, brochures, advertisements, and bios
- Assist in the planning and deployment of campaign assets, including event invitations and post-event promotions
- Track stock and coordinate the distribution of collateral and promotional items
Event Coordination
- Support the development of event briefs and checklists; monitor task completion with relevant stakeholders
- Source venues and liaise with vendors for quotes, especially for food and beverage services
- Manage event logistics, including sending invitations, tracking registrations, and coordinating attendee lists
- Provide onsite and virtual event support, including setup, registration, and teardown
- Order and organize supplies for conferences and marketing events
- Assist with post-event lead follow-up and tracking
Budgeting & Financial Administration
- Submit and track vendor invoices to ensure timely payment
- Monitor and resolve discrepancies with inaccurate invoices
Internal Communications & Stakeholder Engagement
- Compile and distribute marketing updates and success stories via quarterly newsletters
- Conduct outreach to internal stakeholders to support timelines and deliverables
- Coordinate allocation of sports and concert tickets for business development opportunities
- Support other projects and ad-hoc activities as required
Additional Support
- Provide occasional administrative support to the regional management team
Skills And Experience
- Completion of a post-secondary degree or diploma, preferably in marketing, communications, business administration, or a related field
- Minimum of 1 year of experience in a marketing or administrative role, with exposure to project coordination and event planning
- Excellent organizational and time-management skills, with strong attention to detail
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with platforms such as Dynamics 365, CVENT, WorkFront, or Canva is an asset
- Proactive and eager to learn; demonstrates initiative in supporting team success
- Strong interpersonal and communication skills, with the ability to collaborate across teams and regions
- Flexible schedule with the ability to support events that can occur outside of regular working hours
