Job summary

GDI Ainsworth is seeking a Regional Biller and Reconciler to manage the full work order lifecycle from reconciliation to invoicing, ensuring accuracy and timely billing across systems.

You will review orders, pricing, contracts and warranties, coordinate with Operations, Dispatch and clients, and support WIP management. A 2–4 year billing or accounting background and ERP/service management software experience are required. CAD 55k–75k with a hybrid schedule and comprehensive benefits.

• 2–4 years billing or accounting experience in mechanical service, HVAC, plumbing, or construction.
• Strong understanding of service billing processes, work orders, and contract billing.
• Attention to detail, accuracy, and organizational skills.

Responsibilities

• Prepare and issue invoices for service calls, preventive maintenance, repairs, and projects.
• Review work orders, timesheets, and material usage for accurate billing.
• Verify pricing, markups, and warranty status prior to invoicing.
• Submit invoices via portals or email and reconcile data for invoicing.
• Maintain WIP reports and meet invoicing KPIs.
• Support dispatch and other teams to ensure smooth work order lifecycle.

Job Summary:

The Regional Biller and Reconciler is responsible for managing the full work order lifecycle from reconciliation through invoicing, ensuring accuracy, completeness, and alignment across systems. This role monitors profitability, resolves billing discrepancies, supports Work-in-Progress (WIP) management, and collaborates with Operations, Dispatch, and clients to ensure timely invoicing and exceptional customer service. The position also provides administrative support to the Ontario Dispatch Manager and assists in guiding departmental staff while contributing to daily workflow priorities.

Key Responsibilities:

• Prepare and issue invoices for service calls, preventative maintenance, quoted repairs, and small projects.
• Review work orders, technician notes, timesheets, and material usage to ensure accurate and complete billing.
• Verify pricing, markups, contract rates, and warranty status prior to invoicing.
• Submit invoices through customer portals, email, or other required platforms.
• Reconcile work order data and maintain alignment with invoicing requirements.
• Manage the Work In Progress (WIP) report, addressing aged items and meeting invoicing KPIs.
• Update work order details and upload invoices to customer portals as required.
• Perform quality audits to ensure accuracy of all work order information.
• Prepare reports and spreadsheets as needed.
• Support Regional Dispatch, Shared Services, and other internal teams to ensure a smooth work order lifecycle.
• Maintain strong working relationships with internal and external clients, ensuring timely and appropriate responses to customer needs.
• Identify and recommend process improvements and departmental efficiencies.
• Handle confidential information with discretion and professionalism.
• Represent GDI Ainsworth in a professional manner and adhere to all company policies, procedures, and Quality System requirements.
• Perform all duties in compliance with Health, Safety, and Environmental regulations.
• Carry out additional tasks as assigned by Management.

Qualifications:

• Post‑secondary education in a related field or equivalent experience.
• 2– 4 years of billing or accounting experience, ideally within mechanical service, HVAC, plumbing, or construction.
• Strong understanding of service billing processes, work orders, and contract billing.
• Experience with ERP or service management software; strong computer proficiency.
• Exceptional attention to detail, accuracy, and organizational skills.
• Effective verbal and written communication skills, with the ability to document information clearly.
• Customer‑focused mindset with the ability to anticipate and address customer needs.
• Ability to build strong working relationships across all levels of the organization.
• Demonstrated ability to work independently, manage deadlines and prioritize a high workload.
• Professional, reliable, and able to handle confidential information with discretion.
• Knowledge of general business procedures.

The salary range is $55,000.00 - $75,000.00 per year. Actual salaries will vary based on factors such as education, experience, knowledge, skills, and abilities, as well as alignment with market data. The base salary is just one component of Ainsworth’s total compensation package, which also includes additional rewards and benefits such as short-term incentives and health insurance, among others.
