Job summary

AAI/ CASS Corp. in Mississauga, ON, is seeking a Recruitment Coordinator to lead the full recruitment and onboarding lifecycle across business units. Reporting to the HR Generalist, you will identify staffing needs, source and hire candidates, and ensure a structured onboarding process through successful placement.

Qualifications

  • 2–4 years of experience in recruitment or HR coordination.
  • Experience in high-volume hiring environments is a plus.
  • Experience using HRIS and applicant tracking systems.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Strong attention to detail and compliance mindset.
  • Ability to manage multiple requisitions under tight timelines.

Responsibilities

  • Execute end-to-end recruitment and onboarding lifecycle.
  • Work with hiring managers to define role requirements and workforce needs.

  • Screen resumes and conduct initial candidate assessments.
  • Coordinate interviews (phone, virtual, and in-person).

Position Overview

Position: Recruitment Coordinator

Reports to: HR Generalist

Are you an organized, people-focused recruitment professional who thrives in a fast-paced, high-volume environment? We are looking for a proactive Recruitment Coordinator to manage the full recruitment and onboarding lifecycle across our business units.

This is an impactful, hands-on opportunity for someone who understands that successful recruitment goes beyond filling vacancies. Reporting to the HR Generalist, the Recruitment Coordinator is responsible for managing the full recruitment and onboarding lifecycle across all business units. This includes identifying staffing needs, sourcing and hiring candidates, and ensuring a structured and compliant onboarding process through to successful placement.

In addition to day-to-day recruitment execution, the role plays a key part in improving onboarding effectiveness. This includes identifying gaps in current processes, recommending improvements, and supporting the standardization of onboarding practices across the organization.

What You Will Do:
Recruitment and Talent Acquisition
  • Execute end-to-end recruitment aligned with hiring plans
  • Partner with hiring managers to define role requirements and workforce needs
  • Create, post, and manage job advertisements across recruitment platforms
  • Screen resumes and conduct initial candidate assessments
  • Coordinate and conduct interviews (phone, virtual, and in-person)
  • Participate in job fairs, hiring events, and outreach initiatives
Employee Onboarding and Compliance
  • Manage onboarding documentation (sending, collecting, verifying compliance documents
  • Support the RAIC (Restricted Access Identity Card) application process, parking passes, and uniform distribution to new onboards
  • Ensure new hire files are complete, accurate, and compliant
  • Ensure all employee and contractor records remain current and audit-ready
  • Support HR process standardization and compliance requirements
Process Improvement and Workforce Readiness
  • Identify gaps in recruitment and onboarding workflows and recommend improvements
  • Help establish and optimize onboarding systems, documentation, and workflows ahead of peak operational demand.
  • Support the organization’s ability to scale its workforce efficiently.
  • Perform data reconciliation across InTime, spreadsheets, HRIS platforms, and other internal systems.
Office and Administrative Support
  • Support front desk/reception coverage as required
  • Maintain office organization and administrative support tasks
  • Perform additional duties as assigned.
What You Bring:
  • 2-4 years of experience in recruitment, HR coordination, or HR operations
  • Experience working in high-volume hiring environments is an asset (airport, logistics, staffing, or similar)
  • Experience using HRIS and applicant tracking systems (BambooHR preferred)
  • Comfortable working with multiple systems and performing data reconciliation (e.g., InTime Program, spreadsheet softwares, HRIS tools and others)
  • Strong Microsoft Office skills (Excel, Word, Outlook)
  • Solid understanding of full-cycle recruitment processes
  • Experience screening candidates and coordinating interviews
  • Ability to manage multiple requisitions under tight timelines
  • Strong attention to detail (This is a non-negotiable as errors create compliance risk)
  • Ability to prioritize and manage competing deadlines
  • Clear communication skills with candidates, managers, and internal teams
  • Professional, organized, and comfortable working in a fast-paced environment
  • Problem-solving mindset you will be expected to identify and resolve process gaps, not simply follow existing procedures
