Position Summary

We are seeking a reliable, organized, friendly, and professional Receptionist / Office Clerk to serve as the first point of contact for our organization. The ideal candidate will be responsible for managing front-desk operations, maintaining an organized office environment, and providing clerical support across various departments. This role requires excellent communication skills, a strong sense of initiative, and the ability to juggle multiple priorities efficiently.

Key Responsibilities

Front Desk & Office Management

  • Answer and direct incoming calls with professionalism and courtesy.
  • Greet and assist visitors, ensuring a welcoming and professional front office presence.
  • Handle incoming and outgoing mail and packages.
  • Prepare waybills and arrange small shipments through designated courier services.
  • Manage conference room bookings and ensure meeting spaces are clean, stocked, and properly set up.
  • Maintain clean, organized, and welcoming common areas.
  • Monitor inventory levels and order office supplies, stationery, and groceries as needed.
  • Ensure stock is replenished and appropriately organized across all workspaces.

Clerical & Departmental Support

  • Assist departments with data entry, document preparation, scanning, etc.
  • Support administrative projects and ad-hoc tasks as needed.

Qualifications

  • High school diploma (post-secondary education in administration or related field is an asset).
  • 2–3 years of experience in a receptionist, office assistant or administrative support role.
  • Excellent verbal and written communication skills in both English and French.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Friendly, professional demeanor with a team-oriented mindset.

This is an on-site position requiring daily presence at our office. Occasional lifting (up to 20 lbs) may be required to manage office supplies and groceries.
