Job summary

McMillan LLP in Ottawa is seeking a Receptionist & Events Assistant to support the Hospitality & Concierge Services Team. You will help coordinate events, manage catering logistics, greet visitors, and ensure a polished corporate image while delivering five-star client service.

This onsite role requires 1–3 years of admin experience, strong communication, proficiency with Microsoft Office, and the ability to juggle multiple tasks in a fast-paced environment.

Qualifications

  • 1–3 years of administrative experience in professional services, hospitality, or retail.
  • Strong client service skills with ability to thrive in a fast-paced, multitasking environment while remaining calm and professional.
  • Collaborative and reliable team player who can work independently.
  • Detail-oriented with excellent written and verbal communication skills.
  • Proficiency in Microsoft Word, Excel, and PowerPoint; able to adapt to evolving technology.
  • Experience using Teams Phones and Meeting Workplace Booking System software.
  • Comfort operating all audiovisual equipment in boardroom settings.
  • Ability to lift up to 15 pounds.
  • Flexibility to work additional hours on occasion or on short notice.
  • Bilingualism (English/French) is an asset.

Responsibilities

  • Coordinate events and logistics, liaising with external caterers and staff.
  • Assist with event setup, invoicing, and tracking event statistics.
  • Complete food safety and responsible alcohol service courses as provided by the firm; support alcohol service at events as needed.
  • Maintain cleanliness protocols in client boardrooms and catering kitchens.
  • Monitor catering supplies and order inventory as necessary.
  • Act as client service ambassador and greet visitors, ensuring a professional corporate image.
  • Provide concierge support for clients and lawyers; support meeting and boardroom activities.
  • Support national HCS team administratively and provide backup to Business Centre.
  • Become expert in internal meeting workplace booking system; manage boardroom bookings and last-minute requests.

Job description

Receptionist & Events Assistant – Ottawa Hospitality & Concierge Services Team

As a member of the lively team, you will play a key role in ensuring all events and operations run smoothly while delivering five‑star client service. This role is open based on an existing vacancy.

Location Requirement

This position requires working onsite in the Ottawa office at all times.

What You’ll Do
Events & Catering
  • Support event coordination and logistics, including liaison with external caterers and agency staff
  • Assist with event setup, invoice management, and maintenance of event statistics
  • Complete food safety and responsible alcohol service courses (provided by the firm); alcohol service at firm events required as needed
  • Perform ongoing cleaning protocols in client boardrooms and all catering kitchens in accordance with established guidelines
  • Maintain stock levels for all catering and staff kitchens, ordering inventory when necessary
Reception & Client Services
  • Act as a client service ambassador, ensuring a professional corporate image and an exceptional first impression for all guests and clients
  • Greet and announce all visitors, answer and transfer calls as appropriate
  • Maintain boardroom settings through daily rounds
  • Provide concierge service support for clients and lawyers
  • Support all meeting and boardroom activities and initiatives
Administrative & Business Centre Support
  • Support the national HCS team administratively, including Concierge Services
  • Provide back‑up support to the Business Centre and assist with other departments as needed
  • Become an expert in the internal meeting workplace booking system
  • Monitor all events on a daily basis and assist with boardroom bookings and last‑minute requests

Compensation & Benefits

Salary range – $48,000 – $53,000.
