We are seeking a full-time Receptionist to join our Client Services team. Reporting to the Team Leader, Client Services, you will play a key role as the first point of contact for clients, visitors, and guests. In this position, you will be responsible for delivering an exceptional client experience by providing professional, courteous, and efficient service. The ideal candidate is client-focused, highly organized, and thrives in a collaborative environment, demonstrating a strong commitment to service excellence, professionalism, and attention to detail.

Key Responsibilities:

  • Deliver a warm, professional, and welcoming experience for all clients, visitors, and guests, serving as the first point of contact for the firm.
  • Greet and assist guests upon arrival, notify internal contacts of their arrival, and ensure all visitor requirements and special requests are addressed promptly and professionally.
  • Respond to incoming calls and general inquiries, directing requests to the appropriate individual or department
  • Oversee daily meeting room requests through meeting room software; audit bookings daily to ensure that all meeting requirements have been accurately and communicated to the appropriate departments
  • Provide support and training to firm members on meeting room booking systems and virtual meeting platforms, this includes launching meetings on Zoom and handing over hosting rights with some meetings taking place after-hours
  • Maintain constant awareness of surroundings, including reception area and meeting rooms; this includes observing guests who may enter the floor without checking in at reception and escalating as required
  • Serve as the firm's Emergency Response Program Dispatcher and participate in annual emergency preparedness and response training.
  • Build and maintain familiarity with regular clients, visitors, vendors, and callers to enhance the overall guest experience.
  • Assist the Client Services team by providing support and assistance to others during absences as needed and as business volumes dictate, including meeting and event set-up/teardown, assisting with catering orders, and other duties as assigned
  • Perform daily opening and closing procedures, this includes opening/closing the main reception door and auditing each meeting room
  • Contact and coordinate with building management as needed for any after-hour meeting requests/events (i.e. lighting, HVAC)
  • Other duties as assigned
Requirements:
  • High school diploma or equivalent
  • 1-2 years of relevant experience within a professional services environment
  • Excellent interpersonal skills and ability to foster strong relationships with clients
  • Proficiency in MS Office applications including Word, Adobe, Outlook, Excel, and Teams
  • Experience with meeting room software
  • A team player who takes initiative and works well independently
  • Discretion, confidentiality, good judgement, and attention to detail are essential
  • Excellent written & verbal communication skills
  • Demonstrates excellent client service and ability to anticipate client needs
  • Flexibility to accommodate schedule adjustments based on business needs and operational requirements.
