Job description

The Bagga Team is seeking a motivated and dependable Entry‑Level Real Estate Office Assistant to support our growing real estate team. This opportunity is ideal for a student, recent graduate, or someone new to the real estate industry who wants to gain practical experience in a professional, fast‑paced office environment.

The successful candidate will assist with general office administration, client follow‑up, database management, appointment coordination, document organization, marketing support, and day‑to‑day team activities. Previous real estate experience is not required—we are prepared to provide training to someone who is organized, comfortable with technology, eager to learn, and willing to take responsibility.

This position can begin on a part‑time basis with the opportunity to grow into a full‑time role based on performance, reliability, and the needs of the team. It is an excellent opportunity to learn how a successful real estate business operates while developing valuable administrative, communication, marketing, and client‑service skills.

Compensation

$38,000 - $50,000 yearly

Responsibilities
  • Manage all new and existing leads by organizing, reviewing, and updating lead information in Follow Up Boss or the company’s CRM system.
  • Follow up with older and inactive leads through phone calls, text messages, and emails to restart conversations and identify potential buying or selling opportunities.
  • Respond to incoming leads promptly and ensure every inquiry is acknowledged, properly qualified, and assigned to the appropriate REALTOR®.
  • Monitor REALTOR® lead follow‑up activity to ensure assigned leads are contacted consistently and no opportunity is overlooked.
  • Provide morning accountability updates to REALTORS® regarding overdue follow‑ups, pending tasks, upcoming appointments, and leads requiring immediate attention.
  • Act as an accountability partner by reminding team members about their daily follow‑up commitments and helping them stay organized and consistent.
  • Maintain accurate CRM records by updating contact details, notes, lead stages, timelines, communication history, and future follow‑up dates.
  • Identify priority opportunities and immediately notify the appropriate REALTOR® when a lead is ready to book an appointment, view a property, request a market evaluation, or discuss listing a home.
  • Assist with appointment coordination by scheduling buyer consultations, listing appointments, property showings, and follow‑up calls.
  • Support client‑care activities by checking in with current buyers, sellers, past clients, and referral partners to ensure they receive timely and professional service.
  • Maintain regular communication with clients and direct any questions, concerns, or urgent matters to the appropriate REALTOR® or team member.
  • Prepare daily lead‑management reports outlining new leads, completed follow‑ups, outstanding tasks, appointments booked, and opportunities requiring attention.
  • Work closely with the team’s REALTORS® and administrative staff to ensure client information, lead assignments, and follow‑up responsibilities remain current.
  • Follow established communication scripts and systems while developing the confidence to have professional and meaningful conversations with prospective clients.
  • Protect confidential information and handle all client, transaction, and company information professionally and responsibly.
  • Participate in team training and coaching to develop stronger communication, CRM, customer service, and real estate industry knowledge.
  • Perform additional administrative and client‑service duties as assigned to support the daily operations and growth of The Bagga Team.
Qualifications
  • No previous real estate experience is required. Training will be provided to the right candidate who demonstrates a strong willingness to learn and grow.
  • High school diploma or equivalent is required. Current college or university students, recent graduates, and candidates beginning their careers are encouraged to apply.
  • Strong verbal and written communication skills with the confidence to communicate professionally by telephone, text message, and email.
  • Comfortable making follow‑up calls and starting conversations with new, existing, and past real estate leads.
  • Customer‑service mindset with the ability to listen carefully, ask appropriate questions, build trust, and create a positive client experience.
  • Strong organizational and time‑management skills with the ability to manage multiple leads, follow‑up dates, appointments, and daily priorities.
  • Excellent attention to detail when entering contact information, updating client notes, scheduling follow‑ups, and maintaining accurate CRM records.
  • Basic computer and technology skills, including familiarity with email, calendars, spreadsheets, documents, and online communication platforms.
  • Experience with Follow Up Boss or another CRM system is considered an asset, but it is not required because training will be provided.
  • Reliable, punctual, and accountable, with the ability to complete assigned responsibilities consistently and meet daily deadlines.
  • Self‑motivated and proactive, with the ability to identify outstanding tasks, take initiative, and follow through without continuous supervision.
  • Comfortable holding team members accountable by providing respectful reminders, morning follow‑up updates, and accurate activity reports.
  • Positive and coachable attitude with a willingness to receive feedback, participate in training, and continuously improve.
  • Professional and respectful conduct when communicating with clients, REALTORS®, team members, and outside service providers.
  • Ability to maintain confidentiality while handling sensitive client information, lead records, and company data.
  • Ability to work independently and collaboratively in a fast‑paced, team‑oriented real estate office.
  • Interest in real estate, sales, customer service, business, or marketing and a desire to develop a long‑term professional career.
  • Flexible availability to begin part‑time and potentially transition into a full‑time position based on performance and the operational needs of The Bagga Team.
  • An Alberta real estate licence is not required for this administrative and lead‑management position. The employee must not perform activities that require a real estate licence.
