BDP Quadrangle is seeking a Proposal Specialist to join the Business Development team and will work closely with Senior Management and Project Leads to create compelling responses to local and national project opportunities across our relevant sectors and areas of expertise. The Proposal Specialist will develop winning strategies and prepare creative graphic responses to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), Expressions of Interest (EOI) and will be responsible for the organization of bid content, documentation, processes and pipeline data required to continuously improve the quality and success of all submissions. The ideal candidate establishes collaborative and productive relationships with team members and throughout the studio.

Roles and Responsibilities:

• Prepares high-quality and visually compelling responses to RFPs, RFQs, EOIs and solicitations;
• Organizes and manages proposal timelines and internal deadlines to ensure timely submissions through prioritizing high-priority tasks based on urgency and importance;
• Facilitates proposal kick-off meetings and regular check-in meetings to ensure alignment and progress;
• Leads the monitoring efforts of relevant procurement websites and databases to identify potential new business opportunities aligned with the firm’s portfolio and strategic growth areas;
• Collaborates with the Business Development team to research client needs to ensure clarity, accuracy and alignment with client objectives;
• Communicates and coordinates with Senior Management and Project Leads to gather relevant information, specific client needs, proposed fees and required sub-consultant information;
• Oversees the development, organization and maintenance of regularly used bid content (CVs, project experience, qualifications, templates etc.) to streamline the assembly of proposals and to allow more time spent creating bespoke responses;
• Collaborates with other team members to prepare for client interviews and presentations;
• Maintains proposal pipeline data including proposal fees, outcomes, BD activities in the studio’s Client Relationship Management System (CRM);
• Requests and coordinates client debrief and feedback sessions to better inform future proposals and pursuits;
• Provides research and insights on prospective client groups and key contacts;
• Manages tasks of other team members supporting the preparation of proposal requirements and related documentation;
• Identifies trends, best practices and areas of improvement to enhance the delivery process for proposals;
• Participates in Business Development and Marketing meetings to stay informed about upcoming opportunities and industry trends.

Key Competencies, Skills and Professional Requirements:

• 3-5 years of relevant professional experience in proposals, technical writing or business development role, preferably in the Architecture, Engineering or Construction (AEC) or creative industry;
• University degree or college diploma, preferably in architecture, design, marketing, journalism or equivalent experience;
• Strong organization skills, keen eye for detail, and the ability to synthesize information into compelling graphic content;
• Excellent writing, storytelling, editing and proofreading capabilities;
• Highly proficient in the use of Adobe Creative Suite and MS Office;
• Experience with Deltek Vision (CRM) and OpenAsset (DAM), considered an asset;
• Ability to manage multiple priorities and deadlines while meeting quality standards and on-time delivery;
• Works well in a team environment where there's acceptance of continuous improvement and openness for sharing and accepting feedback;
• Eagerness to learn and develop in the field of proposal development.

Reporting Structure: This role will report to the Business Development and Pursuits Manager.
