Job summary

Englobe is seeking a detail-oriented administrator to support proposal development and document production. You will manage the corporate CV database, coordinate resume updates, and ensure branding consistency across project profiles and client materials.

The role requires strong MS Office skills, proofreading ability, and experience with document management systems. A bilingual English-French capability is an asset in this fast-paced environment.

Qualifications

• Relevant degree in administration, communications, marketing, business, or related field; or equivalent combination of education and experience.
• Experience supporting proposal development, document production, marketing coordination, or administrative functions in a professional services environment.
• Bilingual English and French is an asset.
• Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe.
• Experience with InDesign is an asset.

Responsibilities

• Manage and maintain the company's corporate CV database and project sheet database.
• Coordinate employee resume updates, create and maintain resumes, and ensure consistency with company templates and branding standards.
• Coordinate the creation and updating of project profiles, ensuring accuracy, consistency, and compliance with company templates and branding standards.
• Support Proposal Specialists in the preparation of proposals, Requests for Proposals (RFPs), Requests for Qualifications (RFQs), Expressions of Interest (EOIs), and other business development submissions.
• Coordinate the collection, organization, and formatting of proposal content and supporting documentation.
• Assist with proofreading, quality reviews, document formatting, and production of proposal documents.
• Support the preparation of forms, submission packages, presentations, and other client-facing materials.
• Collaborate with employees across various offices to gather, update, and maintain accurate information.
• Assist with bidding site tracking and submissions through online portals.

The salary range for this position is $47,934 to $62,913 CAD base per annum, based on the responsibilities of the role, internal equity, and current market benchmarks. The final offer will be determined based on a combination of factors, including the candidate’s skills, experience and qualifications, their positioning within our internal compensation structure, and relevant geographic cost‑of‑living considerations, where applicable. This range represents a realistic and good‑faith estimate of the compensation we expect to offer for this role.

Compensation may also include a comprehensive benefits package, performance incentives, or bonus eligibility depending on role level and business unit. We aim to foster transparency, respect candidate time and ensure equitable compensation aligned with our company values.
