Job summary

Englobe is seeking a proactive administrative specialist to manage corporate CV and project sheet databases, coordinate resume updates, and maintain project profiles across offices.

You will support Proposal Specialists in preparing RFPs/RFQs, organize content, proofread documents, and help produce client-facing materials, collaborating with teams to ensure branding and accuracy. The role offers a hybrid work arrangement and a range of benefits.

Qualifications

• Relevant degree in administration, communications, marketing, business, or related field, or equivalent combination of education and experience.
• Experience supporting proposal development, document production, marketing coordination, or administrative functions in a professional services environment.
• Bilingualism (English and French) an asset.
• Advanced knowledge of Microsoft Office Suite, particularly Word, Excel, PowerPoint and Adobe.
• Experience with InDesign an asset.
• Excellent written and verbal communication skills, with strong proofreading and editing abilities.
• Ability to manage multiple priorities and work collaboratively in a fast-paced environment.
• Experience working with document management systems, databases, or content repositories is considered an asset.

Responsibilities

• Coordinate the creation and updating of project profiles, ensuring accuracy, consistency, and compliance with company templates and branding standards.
• Support Proposal Specialists in the preparation of proposals, Requests for Proposals (RFPs), Requests for Qualifications (RFQs), Expressions of Interest (EOIs), and other business development submissions.
• Coordinate the collection, organization, and formatting of proposal content and supporting documentation.
• Assist with proofreading, quality reviews, document formatting, and production of proposal documents.
• Support the preparation of forms, submission packages, presentations, and other client-facing materials.
• Collaborate with employees across various offices to gather, update, and maintain accurate information.
• Assist with bidding site tracking and submissions through online portals.

The salary range for this position is $47,934 to $62,913 CAD base per annum, based on the responsibilities of the role, internal equity, and current market benchmarks. The final offer will be determined based on a combination of factors, including the candidate’s skills, experience and qualifications, their positioning within our internal compensation structure, and relevant geographic cost‑of‑living considerations, where applicable. This range represents a realistic and good‑faith estimate of the compensation we expect to offer for this role.

Compensation may also include a comprehensive benefits package, performance incentives, or bonus eligibility depending on role level and business unit. We aim to foster transparency, respect candidate time and ensure equitable compensation aligned with our company values.
