Job summary

CFMWS is seeking a Property Rental Administrator in Ottawa to support the Military Housing Unit program. You will respond to inquiries, field calls and emails, and coordinate move-ins and inspections with occupants, while guiding them on appliance usage and safety compliance.

You will also inspect units, report damages, and prepare documentation, reports, and cost evaluations for the Property Management Office.

Qualifications

  • High school diploma and several years of experience in a related field.
  • An acceptable combination of education, training and experience will also be considered
  • Valid Ontario Driver's Licence is required.
  • Experience in occupancy agreements/rental procedures and office administration is preferred.

Responsibilities

  • Respond to enquiries regarding PSP Military Housing Units from prospective and current occupants.
  • Field calls and emails, ensuring issues are addressed promptly and transparently.
  • Prepare deficiency lists and conduct move-in inspections with new occupants; may show units to prospective occupants.
  • Provide in-person guidance on gas stoves, hot water tanks and furnaces operations.
  • Inspect units, report damages, evaluate cleanliness on move-outs, and communicate costs to Property Management Office.
  • Prepare documents and assist with special projects; compile reports on occupant arrivals and departures.
  • Ensure Health & Safety compliance and may participate in local committee activities.

THE ROLE

Under the supervision of the Military Housing Property Manager, and working with the onsite Property Management Team, the Property Rental Administrator will be responsible for responding to enquiries regarding PSP Military Housing Units. Fielding calls/emails from prospective & current occupants and ensuring any issues are attended to in a prompt, transparent, and client driven professional manner. Preparing deficiency lists as required, conducting move in inspections with new occupant(s) and potentially showing units to prospective occupants. Providing professional in person services such as, instructions on the use of the gas stoves, hot water tanks and the proper operation of the furnaces. The incumbent will inspect units, report damages, evaluate cleanliness standards on move outs and advise the Property Management Office of any potential issues/costs. Proactively work with the occupants to ensure a transparent and client driven approach with every interaction.

The Property Rental Administrator will be responsible for preparing documents, assist with special projects, compile reports relating to arrival and departure of occupants.

Additionally, this individual will ensure compliance with the Health & Safety Program, in conjunction with management, and may act as a Representative or member of a local NPF Committee.

Qualifications Needed
Education, Certifications and Licenses
  • High school diploma AND several years of experience in a related field
  • OR
  • An acceptable combination of education, training, and experience will also be considered
  • AND
  • Valid Ontario Driver\'s Licence
Experience
  • In occupancy agreements/rental procedures
  • In office administration
