Job Overview

The Property Administrator is responsible for managing daily and periodic administrative functions for residential buildings, reporting to the (Senior) Property Manager or (Senior) District Manager. The role aims to support the property management team in providing seamless services to tenants and achieving business goals.

Key Responsibilities
  1. Accounts Receivable and Collections: Manage tenant accounts, initiate collections, and maintain deposits.
  2. Accounts Payable: Assist with invoice processing, ensure accuracy, and follow up on discrepancies.
  3. Tenant Relations: Serve as the primary contact for tenant issues, including rent, tenancy terms, and improvements.
  4. Reporting: Prepare regular reports for management to aid decision-making.
  5. Budgeting: Support financial reporting and budgeting processes.
  6. Marketing and Leasing: Assist with leasing activities, tenant screening, and maintaining occupancy records.
  7. Legal Notices: Prepare and serve notices related to rent and tenancy issues, and attend tribunal hearings if needed.
  8. Documentation: Maintain building and resident records, and suggest improvements.
  9. Staff Supervision: Oversee and train site staff ensuring policy compliance.
Minimum Requirements
  • Knowledge of City By-Laws
  • Proficiency in MS Office
  • Minimum 5 years experience in property administration
  • College Diploma in Business Administration or equivalent
Core Competencies
  • Excellent communication and negotiation skills
  • Strong organizational and team management skills
  • Ability to handle difficult situations professionally
  • Knowledge of Residential Tenancies Act and Condominium Act
  • Familiarity with tenancy agreements and regulations
