Job summary

BGO is seeking a Property Administrator in Mississauga, ON, to support day-to-day financial and administrative tasks for a portfolio. This hybrid role requires working on-site in Mississauga with some flexibility.

You will handle rent collection, invoicing, lease administration, budgeting support, and maintain accurate tenant records. A solid accounting background and MS Office skills are essential, with JDE/Yardi experience valued.

Qualifications

  • 3+ years of high-level administrative experience with strong financial acumen and the ability to interpret company policies and procedures
  • Experience in real estate operations is an asset
  • High school diploma with some post-secondary accounting/computer courses in related field
  • Highly organized with keen eye for detail and accuracy
  • General accounting knowledge and proficiency in MS Office (Word, Excel, Outlook); JDE and Yardi experience is a plus

Responsibilities

  • Provide day-to-day accounting and administrative support for the assigned property portfolio
  • Manage rent collection, cheque posting, tenant account applications and accounts receivable, including weekly AR reporting
  • Review monthly billings, process invoices, code and verify batches, and submit to Regional Accounting
  • Prepare and distribute tenant chargeback requisitions, rental letters, and other tenant correspondence
  • Support annual budgeting for assigned buildings and ensure billing aligns with approved budgets
  • Manage tenant and lease administration, review leases and LRCs for accuracy
  • Maintain tenant records including contact details and security deposits
  • Monitor vacant-unit utilities and PAP setup
  • Ensure tenants provide current insurance certificates and liaise with tenants/contractors
  • Perform other property management administrative duties; support environmental and social initiatives

Job description

The Opportunity: Located in Mississauga, the Property Administrator is responsible for providing support for the day-to-day administrative activities for an assigned portfolio.

This is a hybrid position located in Mississauga, ON

What You Will Do:
  • Provide day-to-day accounting and administrative support for the assigned property portfolio.
  • Manage rent collection, cheque posting, tenant account applications, and accounts receivable, including weekly AR reporting.
  • Review monthly recurring billings, process invoices, code and verify invoice batches, and submit them to Regional Accounting.
  • Prepare and distribute tenant chargeback requisitions, rental letters, and other tenant correspondence.
  • Support the annual budgeting process for assigned buildings and ensure billing information aligns with approved budgets.
  • Manage tenant and lease administration, including reviewing leases and Lease Review Checklists (LRCs) to ensure accurate and up-to-date information.
  • Maintain tenant records, including contact details, emergency contacts, security deposits, and other database information.
  • Monitor vacant-unit utility accounts and ensure accounts are properly set up for pre-authorized payments (PAP).
  • Ensure tenants maintain current and lease-compliant insurance certificates, and liaise with tenants and contractors as required.
  • Perform other property management administrative duties as directed while supporting the organization’s environmental and social responsibility initiatives.
Who You Are:
Key Qualifications:
  • Experience: 3+ years high level administrative related experience, with a strong financial acumen, ability to analyze and interpret Company policies and procedures as well as relevant Acts and Legislation
  • Experience in real estate operations an asset
  • Education: High school diploma supplemented with some post-secondary accounting and computer courses in related field
  • A highly organized individual who has an eye for detail and accuracy.
  • General accounting knowledge
  • Computer Skills - Strong skills in Microsoft Office including Word, Excel & Outlook. Previous experience in JDE and Yardi software programs would be an asset

The Expected Base Pay Range: $65,000 - $70,000 per year. The Base Pay range is for the primary location for which the job is posted.
