Job summary

Mohawk College of Applied Arts & Technology in Hamilton, Ontario, is seeking a part-time Project Support and Outreach Officer to assist with funded projects, enrolment data, and community outreach, reporting to the Associate Dean.

This role focuses on project administration, data tracking, scheduling, and coordination with faculty, service areas, and partners, ensuring timely reports and compliant processes.

Qualifications

  • Two years postsecondary education in Office/Business Administration or related field.
  • 1 year of related work experience.
  • Advanced working knowledge of Microsoft Office and related systems (Word, Excel, PowerPoint)
  • Experience with Banner, Summit, Millennium and FAST Suite preferred.
  • Strong customer service, communications and promotional skills.

Responsibilities

  • Tracks and manages project enrolment registrations and data for student registration and project reporting purposes.
  • Coordinates student registrations for project related activity.
  • Maintains confidential tracking system for students in learning activities.
  • Populates enrolment database with accurate data related to community-based learning.
  • Reports enrolment activity for manager review and communicates figures to stakeholders.
  • Ensures correct controller codes are assigned and attends committees for reporting.
  • Supports outreach and recruitment activities for prospective students and stakeholders.
  • Assists with audit reports and project coordination across departments.

Project Support and Outreach Officer (Regular Part Time)

Status: Regular Part Time

Hours: Up to 24 hours/week

Home Campus: Fennell (fully on-site)

Rate of Pay: $20.56 per hour, plus 6% in lieu of vacation

Job Summary

Under the direction of the Associate Dean, the Project Support and Outreach Officer supports the coordinated delivery of funded and externally supported projects and initiatives. The role focuses on project administration, scheduling, registration, data tracking, reporting and internal and external coordination with faculty, College service areas, and community or partner organizations.The incumbent works closely with the Associate Dean and project staff to produce standardized program audit and compliance reports using established templates and data sources, ensuring accuracy, completeness, and timeliness. The incumbent contributes to efficient implementation of approved projects by ensuring accurate operational processes, timely communication, and responsive issue resolution in accordance with College policies and established procedures.

What you'll be doing:

Tracks and manages the project enrolment registrations and data for student registration and project reporting purposes

  • Coordinates student registrations for project related activity.
  • Maintains tracking system that ensures confidentiality for students participating in learning activities.
  • Populates the student enrolment database confirming accurate and confidential data is secured relating to community-based learning opportunities.
  • Tracks and reports on project enrolment activity for Manager review.
  • Communicates enrolment numbers to Financial Planning Officer, Operations Manager and Associate Dean as needed.
  • Ensures correct controller codes assigned.
  • Attends steering committee, subcommittees, and community information sessions as required for quantitative and qualitative reporting.

Communicates and ensures that College and departmental policies and procedures are followed when complex requests are made by students, faculty, community partners, employers and funders

  • Initiates correspondence to internal departments (Business Solutions, Registrar’s Office, Payroll, Experiential Learning, Finance, satellite campuses, student records, scheduling, Property Services) related to incorrect student or course information, grade changes, student withdrawals, classroom locations.
  • Arranges class schedules based on community, partner, faculty and Associate Dean consultation.
  • Ensures all faculty have access tocourse, external stakeholder contact information and student information.
  • Assists with orientation of faculty assigned to project-related course delivery.
  • Liaises with faculty, student and community partners on issues that arise due to course/class cancellation.
  • Oversees withdrawals of unsuccessful students from course activity
  • Communicates with community partners, , and internal college program areas regarding course start and end dates, times and location for project activity.
  • Solves problems arising from registration issues relating to information gaps, MyCanvas access, grading and contract/payroll.
  • Assists with grade reports for students.
  • First point of contact for classroom and programming inquiries.

Supports and coordinates community outreach and recruitment activities

  • Collaborates with a team in developing and implementing outreach and engagement plan for prospective students and other stakeholders.
  • Liaises with foundational learning team members and marketing department to develop outreach and communication materials specifically related to specially funded programs.
  • Collaborates on the creation, printing and distribution of all applications and registration forms for project activity.
  • Collaborates with the team on the creation, planning and facilitation of off-campus promotional events.
  • Support maintenance of social media and website presence, including creating and posting regular social media content.
  • Receives incoming inquiries from the community and triage as appropriate.

Contributes knowledge and skills to the effective and successful administration of specially funded projects

  • Supports efforts of the Associate Dean, Financial Planning Officer and Operations Manager in all phases of specially funded project co-ordination, including development, delivery and close-out.
  • Consults with Associate Dean regarding proposed changes to academic programming. Liaises, when required, with staff and faculty in other departments for the purpose of strengthening internal linkages.
  • Adapts, maintains records and recommends procedures for audit purposes related to project activity.
  • Takes on special projects as assigned by the Associate Dean.

Other duties as assigned.

What you'll bring to the role:
  • A minimum of two years postsecondary education in Office/Business Administration or related field; or equivalent combination of education and experience.
  • 1 year of related work experience.
  • Advanced working knowledge of Microsoft Office products (Word, Excel, and PowerPoint), Internet, email, social media; and ideally all aspects of Banner (Finance, HR, Student Records, and Course Information), Summit, Millennium and FAST Suite. Knowledge of College financial processes and experience in an Academic / Administrative area are required.
  • Exceptional customer service experience is a must. Position requires highly developed communications and promotional skills to support and facilitate outreach and marketing activities, discuss and resolve problems, and prepare documents and reports.
  • Flexibility in working hours and may be required to accommodate peaks and changing needs in community-based program communication.
  • Project management skills that include organizing, multi-tasking, prioritizing and meeting deadlines.
  • Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
  • The ability to communicate and work effectively with diverse students, employees, and communities.
