Alberta Blue Cross® in Canada is seeking an experienced Project + Marketing Operations Coordinator to drive cross-functional marketing and brand initiatives. You will build and manage project schedules, lead kickoffs, and coordinate with Content + Design and other Marketing teams to keep multiple projects moving forward.

We’re looking for an experienced, highly organized project coordinator who knows how to keep complex work moving. As our Project + Marketing Operations Coordinator, you’ll coordinate cross-functional marketing and brand projects from intake through delivery. You’ll build and manage project schedules and workback plans, bring the right people together, keep stakeholders informed and identify risks, dependencies and resource conflicts before they become roadblocks. You’ll also play an important role in how work moves through Marketing. You’ll support project intake and workflow, help improve our processes and Monday.com setup, and coordinate vendor requirements for the Content + Design team. You’ll work closely with Content + Design, other Marketing teams, internal stakeholders and external vendors to keep multiple projects moving forward at the same time. This role is a good fit for someone who’s comfortable working independently, can see both the details and the bigger picture, and knows when to solve a problem and when to elevate it.
Coordinate complex, cross-functional marketing and brand projects, including organizational and operational requests. Develop and manage project schedules, workback plans, deliverables and task assignments. Facilitate project kickoffs and coordinate work across Content + Design and other Marketing teams. Keep projects moving by monitoring progress, following up on deliverables and coordinating handoffs and approvals. Provide clear project status updates to stakeholders and team leaders. Identify project risks, dependencies, scheduling issues and resource or capacity conflicts, escalating when needed. Manage multiple concurrent projects and changing priorities while keeping deadlines and requirements on track.
Project intake and workflowSupport the intake and processing of marketing and brand requests. Assess incoming requests to understand requirements and determine where the work needs to go. Set up projects in Monday.com and ensure project owners have the context, requirements and next steps they need. Work with requestors to clarify project scope, objectives, deliverables, timelines and approvals. Set clear expectations around timelines and deliverables, including navigating competing priorities and negotiating timelines when required. Support improvements to intake processes, Monday.com workflows, dashboards and reporting.
Marketing operations and process improvementIdentify ways to make Content + Design workflows and processes more effective. Create and maintain project templates, documentation and workflow standards. Recommend improvements to project intake, scheduling, reporting and project management processes. Support broader Marketing and Brand process development and improvements in partnership with the Performance & Enablement Manager.
Vendor and budget coordinationCoordinate vendor processes for Content + Design projects, including estimates, invoicing and deliveries. Track project and vendor costs through COUPA and flag potential budget issues. Coordinate with freelance writers, designers, print vendors and other external partners to ensure project requirements and timelines are met.
