Job summary

Alberta Blue Cross in Alberta is seeking an experienced Project + Marketing Operations Coordinator to drive cross-functional marketing and brand projects from intake to delivery. You will build and manage schedules, coordinate stakeholders, and keep programs moving while identifying risks and dependencies.

This role supports project intake, Monday.com setup, and vendor coordination, partnering with Content + Design and other Marketing teams to streamline processes and improve reporting.

Qualifications

  • Bachelor’s degree or diploma in Marketing, Communications or related field preferred.
  • 3–5 years of project coordination/management experience in an agency or corporate environment.
  • Proven ability to manage multiple projects from concept to completion.
  • Strong project management and organizational skills to build realistic schedules.
  • Experience working with multiple teams and stakeholders to move complex projects forward.
  • Strong communication and relationship-building skills; ability to negotiate timelines and expectations.
  • Experience with Monday.com or similar PM platform; CMS/DAM experience is a plus.
  • PM certification such as PMP, CPM or PPM is a plus, not required.

Responsibilities

  • Coordinate complex cross-functional marketing and brand projects from intake through delivery.
  • Develop and manage project schedules, workback plans, deliverables and task assignments.
  • Facilitate project kickoffs and coordinate work across Content + Design and other Marketing teams.
  • Monitor progress, follow up on deliverables and coordinate handoffs and approvals.
  • Provide clear project status updates to stakeholders and team leaders.
  • Identify project risks, dependencies, scheduling issues and resource conflicts; escalate as needed.
  • Manage multiple concurrent projects and changing priorities while meeting deadlines.
  • Set up projects in Monday.com and ensure owners have context and next steps.
  • Support improvements to intake processes, dashboards and reporting.
  • Coordinate vendor processes for Content + Design projects, including estimates and invoicing.

You’ll build and manage project schedules and workback plans, bring the right people together, keep stakeholders informed and identify risks, dependencies and resource conflicts before they become roadblocks.You’ll also play an important role in how work moves through Marketing. You’ll support project intake and workflow, help improve our processes and Monday.com setup, and coordinate vendor requirements for the Content + Design team. You’ll work closely with Content + Design, other Marketing teams, internal stakeholders and external vendors to keep multiple projects moving forward at the same time.This role is a good fit for someone who’s comfortable working independently, can see both the details and the bigger picture, and knows when to solve a problem and when to escalate it. **WHAT YOU WILL DO:** **Project coordination*** Coordinate complex, cross-functional marketing and brand projects, including organizational and operational requests.* Develop and manage project schedules, workback plans, deliverables and task assignments.* Facilitate project kickoffs and coordinate work across Content + Design and other Marketing teams.* Keep projects moving by monitoring progress, following up on deliverables and coordinating handoffs and approvals.* Provide clear project status updates to stakeholders and team leaders.* Identify project risks, dependencies, scheduling issues and resource or capacity conflicts, escalating when needed.* Manage multiple concurrent projects and changing priorities while keeping deadlines and requirements* on track.**Project intake and workflow*** Support the intake and processing of marketing and brand requests.* Assess incoming requests to understand requirements and determine where the work needs to go.* Set up projects in Monday.com and ensure project owners have the context, requirements and next steps they need.* Work with requestors to clarify project scope, objectives, deliverables, timelines and approvals.* Set clear expectations around timelines and deliverables, including navigating competing priorities and negotiating timelines when required.* Support improvements to intake processes, Monday.com workflows, dashboards and reporting.**Marketing operations and process improvement*** Identify ways to make Content + Design workflows and processes more effective.* Create and maintain project templates, documentation and workflow standards.* Recommend improvements to project intake, scheduling, reporting and project management processes.* Support broader Marketing and Brand process development and improvements in partnership with the Performance & Enablement Manager.**Vendor and budget coordination*** Coordinate vendor processes for Content + Design projects, including estimates, invoicing and deliveries.* Track project and vendor costs through COUPA and flag potential budget issues.* Coordinate with freelance writers, designers, print vendors and other external partners to ensure project requirements and timelines are met.* WHAT YOU WILL HAVE:* A bachelor’s degree or diploma in Marketing, Communications or a related field is preferred.* 3–5 years of experience in project coordination or project management in an agency or corporate environment; agency experience is an asset.* Demonstrated experience managing projects from concept through completion and coordinating multiple projects at the same time.* Strong project management and organizational skills, with the ability to build realistic schedules, manage competing priorities and meet deadlines.* Experience working with multiple teams and stakeholders to move complex projects forward.* Strong communication and relationship-building skills, including the confidence to set expectations, negotiate timelines and raise issues when needed.* Strong problem-solving skills and the ability to identify project risks, dependencies, bottlenecks and workflow issues.* Experience with Monday.com or a similar project management platform.* Experience with content management systems and digital asset management is an asset.* Proficiency in Microsoft Office, including Word, PowerPoint, Excel and Outlook.* Project management certification such as PMP, CPM or PPM is an asset, but not required.**WHY JOIN US:*** Opportunity to make a difference and be part of a dynamic and collaborative marketing team* Work on a wide range of marketing and brand projects across the organization* Competitive salary and benefits package* Hybrid work environment This position will remain open until a suitable candidate is selected.Alberta Blue Cross is an inclusive employer committed to a workplace that reflects the diversity of the communities we serve.
