Job description

Work schedule: 35 Hours/week (Monday to Friday, 8:00 am to 4:00 pm)

Salary: $42.77 to $68.43 per hour ($77,842.65 to $124,548.24 per annum)

Expected Start Date October 12, 2026

Qualifications

MINIMUM FORMAL EDUCATION/TRAINING:

  • Completion of a Master’s degree in a relevant area of study is required.
  • Minimum of 5 years of relevant progressive project management experience is required.

EXPERIENCE:

  • Minimum of 5 years of experience in project management is required.
  • A minimum of 2 years progressive experience working directly in operations and/or management is required.
  • Must have experience supporting a multidisciplinary team.
  • Proven track record of successfully managing and delivering complex projects within specified timelines and budget constraints is required.
  • Experience working with cross-functional teams and stakeholders to achieve project goals is required.
  • Proficiency in project management methodologies and tools is required.
  • Experience in resource allocation and budget management is required.
  • Experience in using project management software and tools to plan, track, and report project progress is required.
  • Demonstrated use of online and cloud-based platforms for collaboration and communication, such as Microsoft Teams, Zoom, SharePoint, OneDrive and Google Drive is required.
  • Familiarity with research and academic operations, including regulatory compliance and ethical considerations preferred.
  • An acceptable equivalent combination of education and experience may be considered.

  • Excellent organizational and multitasking skills, with the ability to prioritize tasks are required.

  • An understanding of the research systems, particularly CIHR (ResearchNet), is required.
  • Advanced proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) is required.
  • A satisfactory work record, including satisfactory attendance and punctuality, is required.

OTHER JOB RELATED QUALIFICATIONS:

  • Knowledge of University of Manitoba systems such as FAST, EPIC and CONCUR is preferred.
  • Research Manitoba, ResearchNet, and other foundation platforms and reporting procedures are an asset.
  • Knowledge of University of Manitoba policies and procedures related to research funds is an asset.
Key responsibilities
  • Manages individual project funding, ensures adherence to funding terms and timelines, obtains funding extensions where necessary.
  • Designs and implements reporting systems for monitoring project objectives and deliverables, as well as with local, national and international partners.
  • Allocate and manage resources efficiently, including personnel equipment, and materials, to optimize project outcomes.
  • Prepares and presents performance results to Aurora Clinical Research Directors and collaborators.
  • Prepares necessary supporting documentation and collaborates with University of Manitoba Office of Research Services and University of Manitoba Research & Special Fund Accounting Department to ensure timely transfer of funding to site partners and collaborators.
  • Prepares budgets, invoices, grant reporting and other finance management.
  • Prepares supporting documentation and collaborates with the Industry partners or government agencies to ensure timely transfer of funding to site partners and collaborators or purchase of equipment or supplies required.
  • Ensures appropriate systems are in place for processing, monitoring, and reporting as necessary.
Administration
  • Collaborates with research teams to develop project plans, define objectives, deliverables, timelines, and resource requirements.
  • Assists in drafting case report forms, informed consent forms, protocols, standard operating procedures, monitoring plans, and other trial related documents.
  • Responsible for the efficient operation and administration of a large clinical trials, ensuring adherence to timelines, budgets and quality standards.
  • Manages and coordinates local, national, and international partner collaborations.
  • Develops and maintains efficient and effective central administrative office processes to build a high-quality research team.
  • Coordinates and participates on committees as appropriate.
  • Assists in coordinating and attends annual international meetings.
  • Drafting and supporting execution of subawards, clinical trial agreements, data agreements, service agreements And other agreements as deemed necessary.
Communication
  • Fosters effective communication and collaboration among team members and sites, encouraging a positive and productive work environment.
  • Conducts regular meetings with project teams, working groups, and sites to facilitate two-way communication of information, issues, and challenges.
  • Communicates on a regular basis with stakeholders and collaborators to review budgets, priorities, and deliverables, as well as other financial administrative issues unique to each project.
  • Engages with internal and external stakeholders, including clients, collaborators, and funders, to provide project updates, address concerns, and manage expectations.
  • Work with University Office of Research Services, Research Manitoba/RITHIM, and other local authorities as required to facilitate communication for research contractions, ethics submissions and renewals as required.
  • Onboard new members and orient to research group and meetings with the University of Manitoba and Aurora Clinical Research as required.
  • Update CCV, CV, Biosketch, of applicants and teams for reports, grants, and communications.
  • Prepare documents for grant submissions and ensure all requirements are met
Technical
  • Oversite of data in databases/platforms such as REDCap, Maestro, and others as required.
  • Coordinate and supervise the project managers, research assistants, and support staff working on the trials
  • Manage and coordinate data generated through the various investigators and ensure Appropriate storage and transfer
  • May be required to perform related duties not exceeding skills and capabilities as required.
  • Other duties as assigned.
