Job description

The Opportunity:

WSP is seeking a Project Coordinator/Workplace Services I to join our Project Management, Cost and Advisory team at our York Street office. Reporting to the local manager of Project Management, Workplace Solutions, this role requires an enthusiastic team player, detail-oriented professional who enjoys learning new skills and adapting quickly. The candidate should be capable of generating customized reports and utilizing the client’s space management platform.

The Project Coordinator/Workplace Services I provides administrative support to ensure the smooth and timely completion of projects and tickets. They should be knowledgeable in project management tools, data management, processes, and techniques. The ideal candidate has strong organizational and analytical skills, with an attention to detail. They must be able to work independently, handle multiple tasks, and prioritize effectively. Communication skills are essential for interacting with clients, team members, vendors, and other partners. Experience in the Commercial Real Estate industry is a plus.

Qualifications:

  • Associate degree preferred
  • Minimum 2 years of experience in corporate administration, facility management, or related fields
  • Proficiency with MS Office, MS Project, MS Visio, and data management software
  • Ability to inspect design plans for accuracy
  • Strong communication skills for daily client and team interactions
  • Ability to build consensus and work well in a team

Physical Requirements:

  • Ability to move within and between client buildings over 50% of the day
  • Occasionally lift up to 25 pounds

Responsibilities:

  • Serve as the initial contact for customer requests
  • Manage requests related to accessories and furniture issues
  • Coordinate with Space Strategy and Space Management teams
  • Maintain data integrity and support space data management
  • Handle move and transfer requests for up to 10 people
  • Support space occupancy and seat data accuracy across platforms
  • Provide on-site and virtual support for space use verification
  • Conduct audits and support updates based on findings
  • Assist with move projects, furniture resets, and equipment audits
  • Support project scope verification and customer surveys
  • Manage locker requests and validation
  • Participate in move vendor coordination and unclaimed item audits
  • Ensure health and safety policies are followed at all sites
