Job summary

Convergint Technologies Ltd in Mississauga is seeking a Project Coordinator to support a major P3 healthcare project in Toronto. You will collaborate with the Senior Project Manager, Field Project Manager, Engineering, Procurement, vendors, and subcontractors to deliver a large-scale integrated systems project.

The role blends project coordination, site presence, procurement follow-up, and documentation, taking ownership of activities and ensuring materials, meetings, and actions stay organized

Qualifications

Salary Range: $70,000.00 To $80,000.00 Annually

Convergint is currently recruiting for a Project Coordinator to join the Capital Projects team to support a major P3 healthcare project in Toronto.

In this role, you will work closely with the Senior Project Manager, Field Project Manager, Engineering, Technical team, Procurement, Vendors, Subcontractors, and other project stakeholders to support the day-to-day delivery of a large-scale integrated systems project.

This position combines project coordination, warehouse presence, periodic site support, procurement follow-up, and strong documentation skills. The successful candidate will take ownership of assigned project activities, coordinate across internal and external teams, participate in customer‑facing discussions, and independently lead coordination items as they become familiar with the project. The role will help ensure materials, documentation, meetings, commissioning activities, and project actions remain organized and continue to move forward.

What you’ll do with “Our Training and Your Experience”

  • Supports and coordinates key aspects of large, complex projects from award through completion, working closely with the Project Manager, Field Project Manager, Engineering, Technical Team, Procurement, vendors, subcontractors, and customer stakeholders to support successful and timely project delivery.
  • Coordinates day‑to‑day project activities, including documentation, procurement, material planning, commissioning, training, submittals, scheduling, and action‑item follow‑up.
  • Provides onsite coordination support as required, working with the Field Project Manager, trades, subcontractors, and customer representatives to confirm installation priorities, site access, material readiness, outstanding issues, and upcoming activities.
  • Communicates project requirements and status to internal and external stakeholders and maintains accurate records of job status, project changes, material flow, outstanding actions, and other information required for reporting.
  • Identifies potential project risks, delays, material shortages, and schedule impacts, and works with the Project Manager and project team to support timely resolution.
  • Participates in customer‑facing discussions and project coordination meetings and may independently lead selected coordination items as experience with the project develops.
  • Coordinates procurement activities, including preparing and submitting material orders, tracking open purchase orders, following up with Procurement and vendors, confirming delivery dates, and identifying long‑lead or delayed material.
  • Coordinates material requirements against the installation schedule, available inventory, FAT requirements, and planned site activities to help ensure material is available when required.
  • Supports warehouse and inventory management, including verification of received material against purchase orders and packing slips, inventory tracking, month‑end reconciliation, material staging, shortages, damaged material, returns, and site deliveries.
  • Supports project scheduling and progress tracking by maintaining milestone and activity trackers, monitoring upcoming requirements, and highlighting potential impacts to planned work.
  • Supports project documentation and closeout activities, including submittals and resubmissions, FAT/SAT/ISAT documentation, commissioning and training records, redlines, as‑built drawings, O&M manuals, and other turnover requirements.
  • Supports project, commissioning, procurement, and logistics meetings by preparing updates, maintaining meeting minutes and action logs, following up with assigned owners, and driving outstanding items through to closure.
  • Supports project reporting, invoicing, Site Instruction tracking, change documentation, and other project controls as required by the Project Manager.
  • Coordinates the receiving and dispatch of project materials, suppliers, warehouse personnel, and the field team in a timely manner.
  • Acts as “our customer’s best service provider” at all times, helping to ensure Convergint remains the customer’s first choice for service and project delivery.
  • Executes all work in accordance with provincial and local regulations, industry best practices, and company health and safety policies and procedures.
  • Performs other duties and responsibilities as requested or required.

What You’ll Need:

  • Strong ability to work independently and as a team member.
  • Excellent verbal, written and interpersonal communication skills and ability to deal with a wide cross section of people both internal and external to the business.
  • Strong attention to detail and ability to interpret engineering drawings.
  • Service skills and awareness for customer care/satisfaction.
  • Strong proficiency with MS Office (Excel, Word) and Bluebeam; familiarity with AutoCAD, Autodesk Construction Cloud, Revit, Wrike or Smartsheet is an asset. Excellent organizational skills and the ability to handle multiple projects simultaneously within tight deadlines.
  • Shows initiative engages in proactive behavior and looks for opportunities.
  • Strong analytical skills necessary to resolve problems and look for solution.
  • Strong financial analytical skills including cost control.
  • Strong ability to facilitate a collaborative working environment for customers and team members.

Requirements:

  • Technical school or college diploma is preferred; extensive relevant experience will also be considered
  • At least 3 years of previous project coordination experience required. 5 years is preferred.
  • Project Management Institute (PMI) certification preferred
  • Experience in systems integration and/or construction is preferred
