Job summary

Convergint is seeking a Project Coordinator to join our Calgary, AB team. You will lead worksite planning, scheduling, organizing and directing field installation and start-up of assigned projects. Approximately 75% of time is spent coordinating projects, with the remainder on field and office work.

You will ensure safety, monitor budgets and schedules, and act as a liaison with clients, contractors, and suppliers to deliver successful outcomes.

Responsibilities

  • Coordinates and supervises projects from award through completion, ensuring on-time delivery within budget.
  • Reviews costs, subcontracts, and schedules to align with project goals.
  • Proactively communicates requirements and project changes with the team and client.
  • Identifies risks and develops strategies to minimize impact and control costs/schedules.
  • Manages procurement of installation materials and services for timely completion.
  • Provides on-site installation assistance and start-up support when needed.

Convergint is currently recruiting for a Project Coordinator to join our growing team in our Calgary, AB location. As the Project Coordinator, you will be responsible for providing leadership, worksite planning, scheduling, organizing and directing, field installation, and start-up of assigned projects. Position requires that work is executed in a safe manner as per company policies and applicable provincial and federal legislation.

The Project Coordinator ensures projects are effectively executed within budgeted cost and time schedules as well as monitors the productivity of crews at the worksite who install/assemble components of products and systems. As a key participant in the relationship with contractors, company and client, the Projects Coordinator plays an important role as a coordinating manager and customer point of contact.

The Project Coordinator is expected to provide on-site installation assistance. Approximately 75% of time is spent coordinating projects and the remainder providing job site specific field & office work.

What you’ll do with “Our Training and Your Experience”
  • Coordinates and supervises projects from award through completion of project, including: overall site supervision of project(s) for successful and timely completion within budget as required by the contract. Handles multiple projects simultaneously.
  • Translates a wide variety of customer needs / requirements; reviews and provides input on estimated costs prior to bid; supervision of installation labor and subcontractors; reviews and complies with project schedules, subcontracts, change proposals.
  • Proactively communicates project requirements to project team and supervisor as and when required.
  • Identifies potential project risks and develops/implements strategies to minimize impact and control deviations from estimated costs and project deadlines.
  • Proactively communicates project schedules, project change proposals and related project activities on a regular basis with customer and seek to continuously improve customer satisfaction.
  • Coordinates the procurement of installation materials, supplies, services and controls necessary for timely and cost-effective completion of project within budget.
  • Provides onsite assistance with the commercial and/or industrial installation and start up, check out and turnover processes.
  • Provides diagnostic and troubleshooting support to existing customers, sales team and service department as necessary for possible problems including electrical and installation problems.
  • First point of contact to coordinate receiving and dispatch of goods with transporters and suppliers in timely manner.
  • Authenticate the goods received and record and manage shipments that have any discrepancies in the order. Work with the Purchasing team to address any issues.
  • Inventory management: Keep and maintain accurate records of all the inventory and stock in the warehouse. This includes facilitating quarterly counts, timely and accurate updates of the inventory listing and adherence to the materials transfer process.
  • Ensure the proper handling and storage of goods and supplies.
  • Follow all Company health and safety policies and procedures. Adhere to legal documentation norms pertaining to warehousing.
  • Ensure the warehouse is clean and organized.
  • Track and manage the tool inventory matrix for the location.
  • Provide administrative support as required including, but not limited to fleet administration, vacation schedule, uniform inventory and distribution, assist technicians with expenses, order stationery and office supplies, pick up mail, mail out fire verification reports, organize recycling
  • Draw purchase orders when required and scan packing slips to the purchasing team for processing in a timely manner.
  • Presents a professional image of Convergint at all times in appearance and behavior and seeks opportunities to promote the services offered by the company.
  • Acts as “our customer’s best service provider” at all times thereby ensuring Convergint is the customer’s first choice for service.
  • Performs supervisory responsibilities including but not limited to: mentoring, coaching and developing colleagues, interviewing, hiring, planning, assigning and directing work, and performance management. Oversees subcontractor work.
  • Executes all work in accordance with Provincial, local regulations, general best practices as well as company health and safety policies and procedures.
  • Perform other duties and responsibilities as requested or required.

  • Exceptional Excel skills required, in addition to MS Outlook and Word
  • Basic knowledge and understanding of IT networking principal.
Requirements:
  • Technical school diploma or related field experience required.
  • Minimum of five years of previous, construction based, field service/installation or project coordination experience preferred.
  • Minimum of three years of project supervisory experience preferred.
