Job summary

Taylor Ryan Executive Search Partners is seeking a Project Coordinator to join a growing mechanical contractor in Vancouver. You will work with experienced PMs and foremen, coordinating mechanical construction projects from start to finish and supporting procurement, scheduling, and cost tracking.

The ideal candidate has 1–3 years with a full-service contractor, is open to mentoring, and has estimating experience on North American projects.

Qualifications

• 1–3 years of experience at a full-service mechanical contractor.
• Willing to be mentored and coached.
• Estimating experience and willingness to estimate.
• Experience on North American projects.
• Strong verbal and written communication.
• Proficient with computer systems and software.

Responsibilities

• Assist the Project Manager with coordination and delivery of mechanical construction projects from start to finish.
• Maintain project schedules, documentation, drawings, RFIs, submittals, change orders, and closeout records.
• Coordinate with site teams, subcontractors, suppliers, consultants, and clients to keep projects on track.
• Support procurement activities, including purchase orders, material coordination, and delivery tracking.
• Assist with project cost tracking, progress billing, invoices, and change orders.
• Attend project meetings, prepare minutes, and follow up on action items.
• Coordinate RFIs, shop drawings, technical submittals, deficiencies, and other project deliverables.
• Assist Project Manager and site team in resolving issues.
• Track progress, identify delays or cost impacts, escalate to PM.
• Assist with commissioning, turnover, and closeout while meeting safety and code requirements.

An excellent opportunity for a growing Project Coordinator to join an established full service mechanical contractor and work with some of Vancouver most skilled PM’s and Foreman.

My client is an established but boutique company, that offer full mechanical services for their clients. They mainly operate within commercial and institutional buildings, however, do sometimes get involved in some residential work.

You will join the team of experts in the office and have a real opportunity to learn from the best. They have a collaborative approach to their projects that a lot of the big companies don’t, meaning you will work through challenges of these large scale projects as a unit and you will always feel supported as you succeed and grow as a team.

• Assist the Project Manager with the coordination and delivery of mechanical construction projects from start to finish
• Maintain project schedules, documentation, drawings, RFIs, submittals, change orders, and closeout records
• Coordinate with site teams, subcontractors, suppliers, consultants, and clients to ensure projects remain on track
• Support procurement activities, including purchase orders, material coordination, and delivery tracking
• Assist with project cost tracking, progress billing, invoices, and change orders
• Attend project meetings, prepare minutes, and follow up on outstanding action items
• Coordinate RFIs, shop drawings, technical submittals, deficiencies, and other project deliverables
• Support the Project Manager and site team in resolving project and mechanical installation issues
• Track project progress, identify potential delays or cost impacts, and escalate issues to the Project Manager
• Assist with commissioning, project turnover, and closeout while ensuring company, safety, and applicable code requirements are met

Requirements

• Looking for someone with 1-3 years of experience working for a full service mechanical contractor
• Willing to be mentored and coached
• Must have estimating experience and be open to estimating
• Must have worked on projects in North America
• Preference for new build ICI projects
• Have an in-depth technical understanding of mechanical systems
• Excellent verbal and written communication skills
• Strong relationship building skills
• Proficient with computer systems and programmes
