Job Type: Full-Time

Salary Range: $48,983 - $61,229

The Position: This position ensures the timely and accurate processing of payments, actively supports the property development team in the purchasing to payment cycle, and provides financial, administrative, and clerical services.

Key Responsibilities:

  • Facilitates the review and reconciliation of billing, receiving, and purchase documents (3-way match).
  • Collects, consolidates, and routes matched and approved documents for payment processing.
  • Monitors and follows up on outstanding approvals or discrepancies in procurement and payment workflows.
  • Reconciles company invoice records and payments aligned with vendors' statements.
  • Preserves and organizes vendor information files.
  • Prepares reconciliation reports as requested.
  • Assists with month-end closing reports and official procedures.
  • Ensures transactions comply with financial policies and procedures.
  • Provides project expense information to project managers and others.
  • Responds to inquiries or redirects them to the appropriate party, and assists with administrative duties, including managing the distribution of incoming and outgoing emails.
  • Acts as a communications liaison with departments as required.
  • Attends development meetings, takes minutes, and captures actions and follow-ups on takeaways and deliverables.
  • Participates as a member of the project team as appropriate to the role.
  • Coordinates with Purchasing and development to initiate and track purchase order (PO) requests.
  • Ensures timely issuance and approval of purchase orders in alignment with project schedules.
  • Other duties as required.

What You Bring:

  • Two years of experience in a similar role within an accounting department.
  • Experience with project or construction accounts payable preferred.
  • Excellent business acumen and ability to exercise initiative, tact, sound judgment, and prioritization.
  • Experience working with a cross-functional departmental company.
  • Basic knowledge and understanding of project accounting.
  • Ability to prioritize, be proactive, and tolerate change in a fast-paced environment.
  • Able to meet tight deadlines with minimal supervision.
  • Excellent interpersonal skills with client focus and the ability to work with staff at all levels.
  • Excellent organizational and multi-tasking, time management skills.
  • Strong computer skills including knowledge of spreadsheets, data-based software, accounting software, email, and web browsers.
