Qualifications

Responsibilities

  • Support SOW and PO processes, track budgets, and manage invoicing.
  • Monitor project progress and report on initiatives.
  • Handle onboarding and offboarding tasks for staff.
  • Assist in planning team events and communications.

Job description

Job Title: Project Coordinator
Location: Toronto, ON
Duration: 12 + Months

Daily Responsibilities:

  • Project & Financial Administration: Support Statement of Work (SOW) and Purchase Order (PO) processes, track budgets, and manage invoicing.
  • Project Tracking: Monitor and report on progress for initiatives such as Scale AI, ensuring alignment with project goals and timelines.
  • People Administration: Handle onboarding and offboarding tasks, including guest access and system permissions for joiners and leavers.
  • Event Coordination: Assist in planning and executing team events, workshops, and offsites.
  • Communications Support: Assist in drafting and distributing internal communications, updates, and presentations. Coordinate team meetings, book rooms, arrange catering, and ensure smooth execution of internal events.
  • Executive Support: Manage travel arrangements & expenses for senior leadership.

Must Haves:
  • 5+ years of experience in project coordination, executive support, or operations.
  • Experience Working at a Large Enterprise Organization (Bonus: Client Industry)
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and project management tools.
  • Ability to work independently and collaboratively in a dynamic team environment.
