Job summary

Gensler is seeking a Project Coordinator to support Design/Project Managers from the initial proposal through design phases to project close-out.

You will handle contract/proposal administration, liaise with in-house counsel and project accounting to update agreements and fees, and use project management tools to improve staffing, schedules and data quality; strong communication and detailed meeting notes are essential.

Qualifications

  • Bachelor’s degree in Architecture, Architectural Technology, or Interior Design.
  • 4–8 years of experience.
  • Self-motivated and curious about the architecture and design process.
  • Proficient in Word and Excel; capable of detailed meeting notes.
  • Excellent verbal and written communication skills.
  • Legal and contract review experience is a plus, but not required.
  • Interest in architectural billings, fee planning, and staffing.

Responsibilities

Description

As a Project Coordinator, it is your responsibility to support Design/Project Managers throughout the life of the project from the initial proposal, through various design phases, to project close-out.

What You Will Do
  • Contract/Proposal Assistance – Write, edit, administer and track signage on Letters of Intent, Interim and Final Agreements, Consultant Agreements, and Work Authorizations.
  • Liaise between In-House Counsel, Design Manager and Project Accountant to incorporate comments into draft contract and ensure contract fee is up to date.
  • Utilize project management tools to increase efficiency for both Design Managers and the studio; this includes entering staffing and revenue plans, creating project schedules, and using data management software to identify areas of improvement.
  • Be a go-to resource in your studio on how to understand, meet, and exceed firmwide metrics goals (staffing and revenue plan completion, contract signage, resilience and sustainability metrics).
  • General project assistance such as supplementary project research, meeting notes, updating project profiles, and other miscellaneous tasks to improve the project quality and delivery process.
Your Qualifications

Compensation

Base salary range will be estimated between $65,000 to $72,000. Gensler’s total compensation package is multi-layered and includes a base salary, two annual bonuses paid in December and June.
