Project Administrator

Term: Fixed Term
Primary Location: MV Isabelle X

Salary: $CAD 60,000 to 65,000/-

Summary of Responsibilities:

Reporting to the Operations Manager, responsibilities and essential job functions include, but are not limited to, the following:

  • Provide daily, weekly, and monthly reports as required
  • Compile, copy, sort, and file records of office activities, business transactions, HSE (health, safety, and environment), and other activities
  • Coordinating, facilitating, and keeping meeting minutes
  • Support the accounting department with performing routine tasks, including collecting all receipts and tracking expenses, invoicing, and other tracking
  • Support the management team with inquiries and other project administration tasks as required
  • Maintain a safe and healthy work environment through the diligent practice of all HSEregulations
  • Ensure internal orientation and onboarding documents are completed, and all managers and supervisors are aware of any updates
  • Label and file appropriately all crew documents and certificates
  • Coordinate the smooth movements of the crew on and off the vessel
  • Act as an ambassador for Bridgemans in all dealings with the public, clients, management, and colleagues

Qualification

  • 3-5 years of administrative experience preferred
  • Vessel and marine industry knowledge considered an asset
  • Exceptional comprehension and command of the English language (written & verbal)
  • Well-versed in Microsoft 365 and Office software and operating systems
  • Intermediate knowledge in developing, maintaining, and modifying complex spreadsheets, forms, and other project documents
  • Capability to multitask and prioritize projects
  • Demonstrated ability to complete complex administrative tasks with minimal supervision

Physical Aspects of Position (includes but are not limited to):


•Repetitive physical activity involving sitting, typing, walking, kneeling, and lifting
•Lifting light to medium-weighted objects (up to 20 lbs, occasionally 50 lbs.)

Vessel Safety Compliance

As a member of the crew, you are required to participate in all safety and security-related training, exercises, and other duties as assigned by the Master and vessel Management. Your primary role onboard the vessel is the safety and security of your work space, equipment, all persons onboard, and the vessel in general.
