Toronto Community Housing iscurrently searching for a Program Supervisor, Commercial Operations, to join our team. In this role, you will be responsible for coordinating the day-to-day operations and maintenance / repair needs for a portfolio of approximately 180- 200 retail units with an estimated 600,000 square foot commercial area, approximately 180 building roof top rentals for wireless equipment, corporate offices, cable and phone services provided by third parties, various multi-media ventures on TCHC buildings, and various agency spaces (commercial and exclusive use of Non-Residential spaces). This position is also responsible for project management and delivery of capital and maintenance jobs within the corporate and commercial portfolio, as required.

What you’ll do

Oversee maintenance and operation activities related to commercial portfolio :

  • Monitor needs and works with Dispatch to ensure proper vendor is assigned to work
  • Inspect and sign-off on all planned and unplanned work completed by vendors; sign-off on all related invoices
  • Conduct building / site inspections (commercial / retail units and rooftop sites), investigate problems, estimate costs and recommend corrective measures
  • Provide recommendations in maintaining building envelope and systems that are captured in development of the operating and capital budgets
  • Oversee communication : scheduling, providing progress updates, following up on work activities when necessary, etc.
  • Assess tenants’ requests and respond to their inquiries based on obligations outlined in their lease agreements
  • Act as primary contact for commercial operations and maintenance issues
  • Mitigate risks to clients’ assets through establishment of proven service standards
  • Assist staff and clients in providing business operation performance reports
  • Maintain quality assurance standards
  • Identify business opportunities for TCHC.

Provide support in marketing vacancies and in the lease negotiation process :

  • Attend unit showings with prospective tenants and provide information on spaces as requested
  • Analyze proposed designs / drawings, seek internal approvals from the Engineering team, and inspect work completed by commercial tenants
  • Prepare Scope of Work, get estimates for plannedand demand jobs in accordance with the Procurement Policy & Procedures, and oversee the delivery of jobs in commercial units.

Assist in Planning & Delivery of Capital projects :

  • Coordinate and inspect capital projects and tenant projects that involve units / space design, change / modification / development, and implement strategies for improvement
  • Supervise multi-disciplinary vendors' pool, including performance evaluations, site inspection, service procurement and delivery strategies from concept to completion
  • Coordinate with various departmentswithin TCH to successfullyimplement projects.

Rooftop wireless tenant operation and maintenance :

  • Review engineereddrawings for proposed wireless equipment installation on rooftops
  • Organize pre-construction meetings to check siteviability and identify any issue that may arise from the installation
  • Coordinate wireless equipment installation with other general contractor workers
  • Organize post-construction meetings to check if the work was done as per drawings specifications.

What you’ll need

Post-secondary education in a discipline related to facilities / property management, construction trades, or trade certificate after apprenticeship

Minimum five (5) years’ experience in commercial property / facilities management or a related area

Certificate in Facilities / Property Management and / or Project Management considered an asset

7-10 years’ experience in commercial property / facilities management supporting a large portfolio, with project management experience preferred

Related professional designations would be considered an asset

Possesses strong negotiating skills and the ability to analyze and evaluate complex problems, provide solutions and recommend alternatives

Possesses advanced skills in computer applications such as Microsoft Word, Project and Excel

Excellent communication skills both oral and written

Excellent organizational and time management skills

Excellent customer service skills and experience in providing respectful service

Ability to work in a fast-paced environment and work with a diverse set of internal and external stakeholders, including tenants, management, and staff

Ability to handle multiple projects with competing deadlines

Able to travel as required

Requires a valid, non-probationary, Province of Ontario class “G” driver’s license (proof of possession and driving record will be required at time of job offer) and be able to obtain City Driver Permit.
