Job summary

University of Toronto—Woodsworth College is seeking an Administ ration Specialist for the Summer Abroad program. You will support admission workflows, data management, and award processes, while promoting Summer Abroad offerings to prospective students and coordinating registration activities with robust reporting.

The role requires advising undergraduate students on international programs, experience with ROSI, BI tools, and strong communication and organizational skills in a university

Qualifications

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum three years of recent and related experience administrating international education experience and/or language programs in a post-secondary educational institution, preferably in a university setting.
  • Experience advising undergraduate students on international programs and courses.
  • Experience with ROSI, databases reporting and generating regular reports for manager’s decision making.

Responsibilities

  • Reviewing and assessing admissions applications.
  • Updating and maintaining application information data.
  • Collecting and passing on submissions for award competition.
  • Preparing acceptance and/or decline letters to applicants using templates.
  • Checking course prerequisites prior to student enrolment.
  • Tracking and monitoring student registration and/or enrollment status.
  • Maintaining prospective enrollment waiting list.
  • Verifying the accuracy of course enrollment information.
  • Preparing enrollment statistics reports.
  • Preparing draft statistical reports and summaries from data collected.
  • Checking that proper approvals are obtained prior to submitting for processing.
  • Directing the activities of casual staff.

Your opportunity

Established in 1972, Woodsworth College’s Summer Abroad program has enabled students to earn U of T undergraduate degree credit while studying in international locations across 19 countries. It currently represents the largest outbound study abroad programming serving Arts & Science students and faculty.
Working under general direction of the Director of the Professional and International Programs, and Summer Aboard Program Manager, the incumbent supports the administration of the Summer Abroad Program and the Teaching in Higher Education (THE500) course.
The incumbent advises students on program and/or course requirements by probing and providing a range of options and possible consequences; checks completeness of applications; prepares applications for admission review by the program coordinators; prepared award applications for review; promotes Summer Abroad programs at recruitment events; assists in the registration of Summer Abroad students; updates and maintains accurate databases; generates regular statistical reports and summaries from data collected; preparing paperwork for processing payments on HRIS and FIS as well as checking that proper approvals are obtained prior to submitting for processing.

Essential Qualifications

  • Experience advising undergraduate students on international programs and courses.
  • Experience working with ROSI, databases reporting and generating regular reports for manager’s decision making.
  • Experience reviewing documents/applications and checking for completeness.
  • Experience planning information and orientation sessions for large groups.
  • Experience with program promotions
  • Experience in working with undergraduate students with diverse backgrounds
  • Experience working with high volumes and tight deadlines while maintaining a high level of accuracy and attention to detail
  • Superior oral and written communication skills
  • Exceptional customer and student service skills
  • Ability and skills working with undergraduate students from diverse backgrounds
  • Superior organization skills and time management skills, with competing deadlines
  • Working knowledge of BI tools, such as Power BI
  • Demonstrated advanced skills in Microsoft Office Suite including Outlook, Word, Excel and PowerPoint
  • Demonstrated advanced skills and proficiency with ROSI.
  • Knowledge and/or experience with the Summer Abroad Programs, and Faculty of Arts & Science course offerings is a strong asset.

USW Pay Band 11 -- $76,577. with an annual step progression to a maximum of $97,928. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
