The Operations Division supports the Toronto Community Housing vision and mission through nurturing revitalized communities and tenants by providing programs, services and partnerships aimed at the needs of children and youth, working families, under employed youth, seniors and other vulnerable tenant populations.

Reporting to the Manager, Engagement Refresh, the Program Coordinator will be responsible for overseeing the administration, implementation and continuous improvement of Toronto Community Housing’s (TCHC) Tenant Engagement System.

In this position you will be working with tenants, staff and community partners to enhance tenant engagement and empowerment through community led initiatives. This would involve supporting the development of materials and key performance indicators, facilitating workshops and building partnerships to ensure effective delivery of the program.

What you’ll do

  • Oversee work of local program staff (eg. Senior Program Leaders) including providing work direction and performance management
  • Developing and overseeing work plans, tracking staff hours worked/absenteeism (Senior Program Leaders) and overseeing daily workflow
  • Maintain expert knowledge of TCHC and TES (Tenant Engagement Systems) policies and programs
  • Works with Managers and other staff to develop and implement ‘Engage Together’ and its applicable programs, collect key performance indicators including delivery of standardized reports on activities, surveys and other components of engagement.The duties include, compiling quantitative and qualitative information on program, providing input into the development of training and program materials, seeking input from staff, tenants and additional stakeholders.
  • Responsible for developing tools to support program evaluation including information collection in each community; oversees the process and provides direction to staff on the collection and compilation of data. The duties include, assisting with the development of tools, develops systems for tracking responses, and determines which data methods are best suited. Compiles and analyzes responses obtained by Senior Program Leaders and other staff and reports/presents results.
  • Builds and maintains relationships with tenants, staff and other stakeholders including community partners. The duties include, act as the primary point of contact for internal and external stakeholders, ensuring timely response to inquiries, attending and maintain on going contact through meetings, phone calls and emails.
  • Organizes and facilitates training workshops and information sessions, oversees meeting logistics including promotion, room set up, food and supplies and minute-taking.
  • Support the development and distribution of educational resources. The duties include, develop relevant training materials and ensures they are distributed as per local outreach strategies. Develop and reviews materials and ensure they are distributed as per workplan.
  • Prepare pre-approval orders and invoices related to program activities for the Manager, or designate.
  • Collaborates with tenants and staff to identify additional vendors that meet tenant needs/requirements.
  • Completes administrative forms and reports. The duties include, obtaining pre-approval for project expenses, completing new vendor onboarding, submitting expenses for approval and payment.
  • Tracking hours worked by Senior Program Leaders and submitting time sheets on time, completing and submitting other documentation as required.
  • Frequent travel across the city to program sites, communities, TCHC officers and partner agencies.
  • Community meetings: regularly attend/facilitate meetings with tenants, tenant councils, staff, partner agencies and neighborhood groups which generally take place during weekends and evenings.

What you’ll need

  • A related post-secondary degree/diploma or working towards completion of degree/diploma, or other related discipline or equivalent experience
  • Courses or certification in any of the following areas would be considered an asset: Program Coordination, Grant Administration, Community Funding, or Tenant Engagement, Group Facilitation, and/or Communications
  • Familiarity with or background in community development, social work, public administration, business administration, or a related field (or equivalent experience). Knowledge of community development and DEI principles and practices
  • Knowledge of Toronto Community Housing communities and/or experience working in a culturally diverse environment
  • Experience developing and implementing community education and engagement programs and events
  • Ability to build partnerships with diverse tenants and stakeholders
  • Experience organizing and facilitating workshops and training programs
  • Proven ability to conduct effective and innovative outreach
  • Experience supervising and managing staff and volunteers
  • Strong organizational and administrative skills (including recordkeeping and reconciling inventory, logistics)
  • Demonstrated commitment to customer service, innovation and creativity
  • Excellent communication and interpersonal skills
  • Ability to work independently as well as part of a team
  • Effective problem solving and analytical skills
  • Proficient in use of MS 365 Word, Excel, and Power Point
  • Ability to work a flexible work week inclusive of weekends and evenings
  • First aid and CPR training certification
  • Conflict resolution and mediation training
  • Knowledge of Occupation Health and Safety Act and WHMIS Valid Class ‘G’ Ontario Driver’s License
