SUMMARY

The Program Coordinator, Dental Services and Orthotics & Prosthetics (O&P), is responsible for the coordination of the two service programs (Dental and O&P) and supervision of the administrative and support staff.

KEY RESPONSIBILITIES

  1. Program Coordination
    • Oversee and support coordination of the daily schedule of activities in the Dental and O&P departments.
    • Provide support to the Dental and O&P teams as needed and provide direction in dealing with work-related issues.
    • Oversee and monitor processing of referrals and scheduling to ensure that clients are seen in a timely and effective manner.
    • Support and monitor billings, accounts receivables and month-end processes.
    • Oversee and support coordination of the teams’ schedules.
    • Responsible for resource allocation and workload balancing, including identifying and monitoring resource requirements, engaging in workforce planning, and developing strategies to cope with peaks in demands, absences, and vacations.
    • Monitor and coordinate with service provider partners to strengthen relationships and ensure seamless service delivery.
    • Manage the program’s material resources and procurement activities.
    • Handle client and family relations and escalation management.
    • Participate in northern, outreach clinics, external events, and teaching and learning activities.
  2. Supervisory Lead
    • Supervise human resources including recruitment, orientation, performance management, and evaluation of the teams.
    • Coordinate workload distribution among staff to ensure activities are completed accurately and timely.
    • Participate actively in team meetings and rounds to share information.
  3. Continuous Process Improvement
    • Design and coordinate efficient practices.
    • Support proactive review of processes, practices, and resource utilization to enhance program effectiveness and efficiency.
    • Review systems for continuous quality and process improvement and contribute to corporate initiatives.
    • Develop and monitor key performance indicators to ensure operational performance.

Other duties as assigned or required.

MINIMUM KNOWLEDGE, SKILLS & ABILITIES

Education/Experience

  • An undergraduate degree in Business Administration, Health Administration, or equivalent.
  • Sound knowledge of finance and analytical principles and practices, as required through the successful completion of business administration courses preferably at the post-secondary level or equivalent job experience.
  • Demonstrated knowledge of dental treatments and outcomes.

Skills

  • Leadership, problem solving, conflict management, and relationship building.
  • Attention to detail and aptitude in long-term planning.
  • Previous experience in daily and monthly finance activities, preferably in a healthcare environment.
  • Exceptional organizational and time management skills; ability to manage competing priorities and multiple projects.
  • Excellent communication (written/verbal) and interpersonal skills with a customer service orientation.
  • Proven ability to work independently and in a team environment.
  • Demonstrate initiative and tact in dealing with sensitive and confidential information.
