Job summary

e4c is seeking a Program Assistant to support the Financial Management Hub with day-to-day administrative tasks, data entry, record-keeping, and front-line inquiries. You will assist Financial Administrators and help maintain organized filing and scheduling to ensure smooth service delivery.

Qualifications include a Diploma in Business Administration or related discipline, and certifications such as First Aid/CPR and Crisis Intervention are assets.

Qualifications

  • Diploma in Business Administration, Information Processing or related discipline.
  • 1+ years of administrative support experience.
  • Proficient in MS Word, MS Excel, and MS Outlook.
  • Knowledge of office equipment and computer software programs.
  • Understanding of complex barriers that affect people living on a low-income is an asset.
  • Knowledge and use of Database software is an asset.
  • Knowledge and experience with community programs and resources related to financial literacy is an asset.

Responsibilities

  • Respond to telephone, electronic, and in-person inquiries, or redirect them to the appropriate team member.
  • Provide administrative support to Financial Administrators in day-to-day operations, including data entry, documentation and case note recording, correspondence management, scheduling and confirming appointments, coordinating fund distribution, and distributing transit passes.
  • Provide general information about the Financial Management Hub Program and its services to team members, persons served, and the general public.
  • Respond to general phone and in-person inquiries in a professional, courteous, and client-centered manner.
  • Operate and maintain a multi-line telephone and voicemail system, including programming features, setting up new mailboxes, and providing basic technical support to staff.
  • Receive, sort, and distribute incoming mail and deliveries, and coordinate outgoing mail.
  • Maintain inventory of office supplies, place orders as required, and arrange servicing of office equipment.
  • Organize, sort, and file documentation in accordance with established filing systems in a timely and accurate manner.
  • Send and receive email communications with partner agencies and creditors.

Position Summary

The Financial Management Hub Program is an initiative intended to enhance the capacity of persons served by supporting housing stability, mental health, and overall well-being. Working collaboratively with community resources, the Financial Management Hub provides financial support to individuals and families facing housing and financial barriers.

The Program Assistant supports day-to-day administrative duties, including data entry, record-keeping, managing incoming and outgoing correspondence (phone, fax, mail, etc.), scheduling and confirming appointments, maintaining filing systems, and providing support to Financial Administrators as required. The Program Assistant acts as the first point of contact for telephone, electronic, and walk-in inquiries from the community and ensures that a safe and welcoming environment is maintained for all individuals accessing services at the Financial Management Hub.
