Job summary

SEOCHC in Ottawa's Hunt Club site is seeking a Program Assistant to provide essential administrative support to the Community Services team, including front desk duties and data management.

Based at our Hunt Club–Riverside satellite office with occasional work at 1355 Bank Street, the role offers opportunities to engage with diverse clients and support community programs, reporting and event coordination.

Qualifications

  • Post-secondary training or equivalent experience in office management or administrative work.
  • Excellent communication and customer service, with telephone etiquette and cultural awareness.
  • Proficiency with databases, Word, Outlook, PowerPoint, Excel, etc.
  • Bilingual French and English; Arabic or Somali language skills are a strong asset.
  • Strong organizational, time management, and written/oral communication skills.
  • Ability to work independently and as part of a team.
  • Experience with vulnerable populations.
  • Community experience is an asset.

Responsibilities

  • Provide front desk reception and administrative support for the Community Services team.
  • Greet clients in person and by phone and route them accordingly.
  • Prepare and maintain the Centre's Calendar of Events.
  • Enter data, generate client information reports and statistical documents to meet deadlines.
  • Assist with planning community events, including space booking and refreshments.
  • Collect and code staff timesheets and submit for approval.
  • Process universal accounting submissions as required.
  • Other administrative duties as directed by leadership.

Overview

Reporting to the Community Services Coordinator, the Program Assistant provide key administrative support to the leadership and staff within the portfolio; while also aligning with peers and supporting organization-wide initiatives. You will provide front desk reception, program, and administrative support, primarily at our satellite office in the Hunt Club-Riverside Community Centre; with occasional support at our main site at 1355 Bank Street.

Key Responsibilities
  • Provides general administrative support to the Coordinator and staff of the Community Services team.
  • Greets clients, both in-person and by telephone, and helps them navigate based on their needs.
  • Prepares the Calendar of Events for the Centre, updates and maintains as required.
  • Enters data in the database for specific programs, collects and collates client data, produces client information reports, and prepares statistical reports and documentation to meet program and funder deadlines.
  • Assists with the planning and execution of community events, including booking space and transportation, seeking quotes for activities, organizing food and refreshments, etc.
  • Collects and collates staff timesheets, including leaves and other time off, and submits to designated leader for approval and submission.
  • Collects and codes universal accounting submissions from staff and submits to designated leader for approval and submission.
  • Other administrative support duties as directed by leadership.
Qualifications
  • Post-secondary training or equivalent experience in office management, administrative or a related program; or an equivalent combination of experience & education
  • Exceptional communication and customer service skills including telephone etiquette, cultural awareness and ability to work with diverse clients
  • Technical skills, i.e., Comfortable with databases, Word, Outlook, PowerPoint, Excel, etc.
  • Bilingualism (French and English), ability to speak Arabic and/or Somali a strong asset
  • Strong organizational, time management, oral and written communication skills
  • Ability to work independently and as part of a team
  • Experience in dealing with vulnerable populations
  • Community experience is an asset
Salary

$42,169.40/yr - $50,213.80/yr
